Job Description:
The Operations/Project Coordinator plays a vital role in facilitating and coordinating multiple cross-functional teams to ensure the smooth execution of day-to-day operations. This involves:

Coordinating and liaising with various teams, including smart/remote-hands and IT-infrastructure facility providers using proprietary ticketing systems and web portals
-
Managing tasks that vary in number, size, and complexity
To excel in this role, the ideal candidate should possess or be able to develop expertise in:

Customer service

Colo/DC/POP site access

Smart hands requests
-
RMAs (Return Merchandise Authorizations)

Inventory management

Equipment audits
-
Shipping and similar logistics experience
Roles and Responsibilities:
-
Work closely with the facility providers and Smart Hands to drive issue resolution.
-
Coordinate with OEM hardware vendors to oversee RMA shipments to and from facilities.

Assist with daily monitoring of the ticketing system and resolving at least 15-20 cases per day on average within defined Service Level Agreements (SLAs).

Collaborate with Coordinators in the other global regions to ensure smooth start/end of shift handover, using a 24/7 follow-the-sun service.

Collaborate with various regional teams for ticket resolution.

Assist with identifying trends or recurring problems and escalate to team lead for resolution.

Leverage Continuous Process Improvement techniques, updating documentation on process and procedures and introducing innovative ideas to improve service and operational efficiency.

Assist with identifying and collaborating on new process improvement opportunities.

Communicate effectively, maintain and establish a good rapport team and client.

Assist with maintaining and monitoring ad-hoc project plans/schedules, work hours and expenditures.

Attend and participate in client meetings as required.

Work closely with Service Delivery Managers (SDMs) and Project Manager (FAPM) to understand and maintain focus on their analytical needs, including assisting with identifying critical metrics and Key Performance Indicators (KPIs), and delivering actionable insights to relevant decision-makers.

Required Qualifications/Skills:

Bachelor’s Degree or equivalent from accredited college

2 - 4+ years minimum work experience in logistics, project coordination or similar

Familiarity with Microsoft Excel, Word and Google Suite

Excellent communication skills, both verbal and written

Positive attitude and highly dependable

Excellent customer-service skills

Ability to work both within a team and independently

Ability to multitask, triage, and prioritize workload in a fast-paced environment

Ability to use good judgment, as well as problem-solving and decision making skills

Ability to maintain confidentiality and professional decorum

Must be able to work occasional weekend and holiday rotations

Role is in-office, full-time, 5 days (40 hours) a week (typically M-F).

Must live within a reasonable commute to Fremont, CA.
Preferred (but not required) experience and qualifications:

Project Management certification(s) or course experience

Curiosity to learn new things, including application of AI to improve productivity

Interest in analytics, data, and process optimization

Leadership potential

Second language such as Spanish and/or Portuguese
Salary Range
$18.45 - $29.12 USD (Hourly)
