Description
- Reporting to the Training & Accreditation Team Lead, the Data Administrator will perform a variety of administrative and clerical tasks. Their duties will include providing support to the Training & Accreditation team by assisting with daily tasks and helping the team manager on as needed basis.
Training and Accreditation Duties:
- Monitoring Training & Accreditation mailbox by processing email requests for exam bookings, rebooking request, rescheduling exams, and cancellations.
- Handling general inquiries related to eLearning, exams, and the Learning Management System.
- Updating personal information in databases and deactivating access.
- Proofing and editing eLearning scripts and other documents used to create courses and exams.
- Overseeing the training inbox BOT (Oscar) by reconciling and analyzing Oscar’s Status Reports.
- Rectifying any errors made by Oscar, specifically relating to data scraping for handwritten form submissions.
- Ensuring exam booking confirmation emails are sent out for all booked exams (daily). Reporting bug/issues and working with team to correct.
- Performing account creation, exam content group assignments, eLearning assignments and reassignments.
- Performing credential check and confirmation, user account information updates, changes, and corrections.
- Duplicate account reconciliations, addressing system access issues and updating exams in the Learning Management System when required.
- Maintaining the Accreditation and Certification Training (ACT3) database with file reconciliation, manual file creations, updates, changes, or corrections as needed.
- Performing general administrative duties including file management (e.g. maintaining naming conventions, file structures, retention, destruction management and recording important outages in the training inbox Outlook Calendar.
- Submitting and managing BERNIE requests on behalf of team to support clients.
The Data Admin will also assist the Manager, Projects and Program Support by:
- Capturing meeting minutes and documenting project action items and next steps.
- Assisting with documentation and creation of processes and procedures.
- Following up with project teams to ensure that they adhere to provided timelines and deliverables.
- Assisting with preparing project meeting agendas and stakeholder consultation materials.
- Scheduling and attending project team meetings on as needed basis.
