Overview & Responsibilities

We are seeking a highly organized and proactive Administrative Assistant to join our team, based in Dammam, Saudi Arabia Office. This role provides dedicated support to the Organization and our customers, ensuring the smooth execution of the Repair Facility operations.

Working under the direction of the Repair Facility Manager and in close collaboration with Field Service Operational Management, the Administrative Assistant plays a critical role in ensuring compliance, coordination, and effective communication.

Job Duties

  • Assisting with the Repairs Team's paperwork and keeping the Workshop folder on the computer in good order.
  • Be the authorized person for booking flights and local transportation for EGSSA Repairs Staff's work trips and yearly vacations.
  • Takes in deliveries from area suppliers, keeps records, and files delivery notes.
  • Greeting guests at the reception and recommending them to relevant EGSSA (Repair Facility) staff.
  • Maintains and procures stationery for the Repairs Department.
  • Regularly checking and updating the building's preventative maintenance schedule and making sure that the PM is carried out as planned.
  • Keeping the equipment's certificates up to date and making sure they are all kept; also, calling the seller to make sure the certificates are done on time.
  • Keeping track of the replacement supplies needed for things like operations, safety, and EHS.
  • Staying in constant contact with nearby suppliers to address any workshop requirements that may arise.
  • Attending the meeting about internal repairs, taking minutes, setting up the plan in Google Calendar, and reporting on progress as agreed upon in the meeting.

This is a full time (5 days work from office) permanent position based in Dammam (Saudi Arabia).
