Senior Workplace Coordinator – Chicago, IL

We’re looking for a Senior Workplace Coordinator to help us keep this space welcoming, efficient, and a great place to work for our teams and visitors. If you thrive in facilities management, vendor coordination, and creating an exceptional office experience, this role is for you!

You'll Spend Time on the Following: 

💼 Facilities & Office Management

  • Oversee postage, courier shipments, and global customs requirements.

  • Manage Preventative Planned Maintenance (PPM) and proactively address challenges.

  • Maintain and track office supplies, furniture, and facility cleanliness.

🏢 Vendor & Procurement Management

  • Supervise vendors, ensuring compliance with agreements and service quality.

  • Handle purchasing requests, procurement processes, and invoice verification using Coupa.

  • Work closely with regional teams for contract and vendor management.

🛑 Health, Safety & Security

  • Ensure office compliance with emergency evacuation and health & safety protocols.

  • Issue and manage security access cards, ID badges, and CCTV coordination.

  • Act as a liaison between corporate security, property management, and on-site security vendors.

📞 Reception & Employee Services

  • Be the first point of contact for visitors, ensuring a welcoming experience.

  • Manage internal ticketing systems for facility-related requests.

  • Coordinate employee services, including meal programs, transportation, and first aid requirements.

🔧 Physical Tasks & Event Support

  • Assist in office relocations, furniture setup (lift and carry 35-65lbs), and repairs.

  • Ensure smooth facility operations for events and office gatherings.

📊 Budgeting & Problem-Solving

  • Track office inventory consumption and prepare monthly budget reports.

  • Identify process improvements to enhance efficiency and service delivery.


Skills & Experience Required: 

2-3 years of experience in facilities, office management, or workplace coordination.

✅ Strong understanding of vendor management, procurement, and health & safety protocols.

✅ Experience with purchasing software (Coupa preferred).

✅ Ability to manage multiple tasks, troubleshoot issues, and support cross-functional teams.

✅ Comfortable with physical tasks (lifting 35-65 lbs, furniture setup, and stock replenishment).

✅ Excellent communication and problem-solving skills.


🏢 In-Office Expectations: Monday - Friday from 8:00am - 5:00pm CST

💰 Salary: $60,000 + annual bonus
