Job Description:
The Matter Mobility Coordinator is a national position that functions in support of all in and outbound file transfer activity. The Coordinator position requires steadfast attention to detail, strong project management capabilities, and exemplary record keeping skills.
Under the direction of Epiq Matter Mobility Managers and the Epiq National Records Manager, the Matter Mobility Coordinator will support all mobility events and transfer-related initiatives; and collaborate on projects across the client’s IG program and Epiq RIM teams.
The Coordinator is responsible for:
Supporting Epiq Matter Mobility Managers and the client’s IG Matter Mobility Manager with any/all transfer activities. Developing, updating, and managing a national transfers schedule, tracking transfer project details such as due dates, activities, challenges, and completion dates. Coordinating with local Epiq RIM staff in the collection, culling, and preparing of physical records relevant to an approved transfer request. Providing training and ad hoc support on the proper use of the Transfer Tracker application and Epiq Matter Mobility Standard Operating Procedures. Developing reports that demonstrate Matter Mobility program activities and achievements. Support the firm’s Matter Mobility Manager in managing the national Transfer process. Assist with the review of transferring files, both physical and electronic, in accordance with the Firm’s matter mobility guidelines to facilitate the identification, tagging, extraction, and retention of content which contain proprietary and confidential information relative to Firm business operations. Works with Onsite RIM teams to facilitate the timely review of physical collections. Supports the firm’s transfer operation in the absence of the Matter Mobility Manager. Assist electronic review of transferring files in accordance with the Firm’s matter mobility guidelines to facilitate the identification, tagging, status, and document repository assignment relative to the Firm’s client matter intake processes. Covering for Epiq Matter Mobility Manager during absences or during peak times. And other duties assigned in support of the Epiq RIM/IG team.
Qualifications & Requirements
- High School Diploma (or equivalent) required. Bachelor’s degree preferred.
- 3+ years’ related experience in Information Governance, Records Management.
- Experience managing multiple priorities, tasks, and shifting deadlines.
- Strong technology proficiency, particularly with document review platforms such as Relativity.
- Familiarity with Information Governance/Records and Information Management principles, particularly regarding matter mobility.
- Document Management System and Records Management System experience strongly preferred.
- Prior experience with Smartsheet software would be welcomed.
- Ability to interact confidently and clearly with technical and managerial level staff.
- Excellent written and verbal communication skills, stewardship, organizational and problem-solving skills.
- Ability to successfully cooperate with others and manage project participants to deadlines.
- Hybrid position (Monday - Friday) - requires 2 days per week in the office / 3 days work from home.
- Scheduled daily shifts are flexible between the hours of 8:00 am to 6:30 pm.
The Compensation range for this role is 24.00 to 30.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
