We are seeking a highly organized and proactive Office Manager to oversee the smooth operation of our office environment. The Office Manager will take ownership of office management responsibilities, ensuring that our workplace is efficient, organized, and a welcoming space for employees and visitors. This role will include managing office supplies, coordinating with service providers, overseeing housekeeping, maintaining office equipment, and supporting local events and operations.
Key Responsibilities:
- Monitor and order office supplies (stationery, food, drinks, cleaning materials) to ensure inventory is always well-stocked.
- Maintain vendor relationships, coordinate service providers (e.g., cleaners, maintenance), and ensure timely delivery of services.
- Support office housekeeping and perform daily checks to ensure cleanliness and organization.
- Coordinate repairs, maintenance, and improvements for office infrastructure and equipment.
- Schedule and manage bookings for meeting rooms and the training room.
- Prepare spaces for meetings and events, ensuring proper setup of furniture, supplies, and AV equipment.
- Oversee mail distribution, shipping, and receiving.
- Manage office equipment, including troubleshooting basic technical issues and coordinating repairs or upgrades.
- Act as a point of contact for office-related inquiries and assist employees with office needs.
- Foster a welcoming and inclusive office environment by organizing occasional employee engagement activities.
- Enforce office policies and procedures to maintain a productive and professional workplace.
- Manage office access and parking passes for new and terminating employees.
- Ensure compliance with workplace safety regulations and practices.
- Serve as designated fire marshal for office.
- Other duties as assigned.
Skills & Competencies:
- Ability to multitask, prioritize tasks effectively, and maintain attention to detail in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to build strong relationships with employees, property managers, vendors, and service providers.
- Proactive in identifying and resolving office-related issues with minimal supervision.
- Resourceful and creative in finding solutions to workplace challenges.
- Familiarity with office software (e.g., Microsoft Office).
- Experience with office equipment (printers, copiers) and basic IT troubleshooting.
- Demonstrates ownership of tasks and accountability for results.
- Takes initiative to identify opportunities for improvement in office operations.
- Comfortable adapting to changing priorities and managing unplanned tasks.
- Willingness to assist with a variety of duties as needed.
Qualifications:
- High school diploma or equivalent required; bachelor’s degree preferred.
- 1+ years of relevant work experience.
- Must be willing to work full-time in the office.
- May occasionally require lifting and moving office supplies or furniture (up to 25 pounds).
