Job Summary:
Supports the operation by ensuring clients receive prompt service, the administrative duties are completed and by coordinating the information flow for the group.
Responsibilities:
Understanding the Business

Promotes awareness of staff and team members relating to issues such as CSA policies and procedures, occupational health, safety, and environmental issues, crisis management, problem-solving and project management

Documents, reviews and updates GMA working processes and procedures so that all users of the information can provide consistent, cost-effective and timely services
Working Well with Others
-
Provide administrative assistance for the Social Committee, including managing meeting minutes, tracking budgets, coordinating office communications, and planning events.

Ensures group records and Human Resources records agree at fiscal year-end.

Enters and tracks all labels that have been affixed by the group

Conducts final tally of all label inventory at fiscal year-end

Serve as point of contact for other CSA locations

Plans and organizes training sessions with customers, internal staff and International Partners/Agencies to ensure consistency of process and maintenance of technical competence
Delivering Results
-
Coordinate and perform routine administrative tasks, including reception telephone coverage, preparing letters, acknowledging correspondence, filing, scanning, photocopying, and importing documents into Documentum. Distribute standards, bulletins, and memos, and ensure office supplies are maintained.

Assist operation project delivery teams and office/lab locations with tasks related to expense accounts, submit expense reports, process invoices, vendor management, purchasing, security, shipping and receiving, and HSSE site representation or support.

Schedule meetings, book rooms, manage visitor experiences, capture meeting minutes, and handle other duties assigned by Operations management.

Assist with metrology tasks, including collecting, coordinating and preparing equipment shipments for calibration or field representatives, and processing equipment through Met/Teams software.

Obtains quotes and gathers information regarding purchase, calibration and maintenance of Laboratory equipment

Manages and oversees purchasing procedures with full documentation as required, including budget tracking and reporting

Planning, and coordination of team travel and visitors; may include assisting colleagues in making hotel and travel reservations for internal and external visitors. Arranging lunches and making dinner reservations, etc.

Reads and follows all applicable job safety analysis documents (JSA), work procedures and safety rules

Correctly and consistently uses all provided safety equipment, tools, and personal protective equipment (PPE)

Offers suggestions and participates in problem-solving sessions that lead to overall HSSE improvements
Education & Experience:
-
Full Secondary School Diploma
-
2 years of clerical training on Microsoft Office and various applications and software
-
Must possess computer skills, including the Microsoft Suite and software applications used to conduct business, ideally Salesforce.com

Proven ability to plan, organize and perform assigned duties with minimum supervision
-
Must be capable of managing variable workflow and completing multiple tasks on a routine basis

Demonstrated high attention to detail

Excellent written and verbal communication skills
-
Demonstrated interpersonal skills; must be service-oriented both within the immediate work environment as well as external to the organization
