Job Summary

The HR & Yacht Planning Coordinator supports the Shipboard HR and Yacht Planning teams by coordinating day-to-day administrative tasks essential for the smooth operation of shipboard HR service delivery and Yacht Planning supportThis role requires strong organizational skills, attention to detail, a friendly service-first approach, and the ability to handle confidential information. 

Essential Functions 

  • Maintain and organize personal records for all shipboard employees, ensuring compliance with company policies. 
  • Support the preparation and maintenance of necessary joining documents for new employees during the onboarding process. 
  • Monitor and ensure all HR-related documents are current in the company's HRIS and other systems/repositories. 
  • Support administration of select benefits offered to shipboard employees, ensuring all details are accurate and current.
  • Manage accommodation requests as needed by operations, coordinating logistics effectively. 
  • Support contract distribution for all new hires, ensuring professional and seamless communication as part of our warm welcome standards. 
  • Partner with Shipboard HR professionals, the Yacht Planning team, and Operations with a focus on strong and respectful partnerships to maximize efficiency and effectiveness. 
  • Provide relevant and timely reports to onboard teams, hiring agents, port agents, and corporate leadership. 
  • Assist the corporate HR team in preparing, implementing, and monitoring new build, dry/wet dock, and operating budgets. 
  • Administer POs and vendor payment systems and processes ensuring accurate and timely payments; partnering with AP, Finance, and Accounting as required. 

 

Competency

Skills & Experience:

  • Previous experience in the Hospitality or Cruise industry is preferred
  • Proven experience in an administrative or coordination role, preferably in the maritime or hospitality industry
  • Tech savvy, proficient in Microsoft Office software
  • Proven problem-solving and analytical skills
  • Detail-oriented with the ability to own and manage multiple tasks simultaneously
  • Excellent organization and follow-through skills
  •  Ability to handle confidential information with discretion
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to build and maintain rapport with internal and external customers and handle situations with confidence, tact, and resourcefulness
  • Flexible, adaptable, and optimistic with the ability to work under pressure to meet deadlines in a fast-paced office environment
