The Government Billing & Operations Support Analyst will maximize the front & back-office support and also support the execution of US government contracts awarded to Defense Solutions by assisting the billing team ensuring fulfillment of all necessary information to properly process and submit invoices to customer. The position will offer administrative, contractual, logistics, and accounts management assistance along with other duties as assigned by Government Billing Leads.
Principal Responsibilities
- Act as a liaison between Billing Department & other support departments throughout the entire organization as well as externally with DLA or KHI as needed.
- For AirCard numbers, documentation discrepancies and reconciliation, ensure/work to:
- Card numbers should be received from vendors but roughly 1% fail to provide data.
- Obtain card number and approvals from customer, should this second step fails then.
- Obtain card number and approvals from KHI.
- Transactions with no card or approval are escalated to GS-US for potential write off risk management.
- Follow an implementation process ensuring that data flows accurately through all systems, aimed to avoid pricing errors.
- Properly document on any transaction review or analysis to resolve billing discrepancies that may involve consult with Aircard to obtain clarifications and approval from cardholders.
- Processing marine AR invoice transactions SeaCard
- Monitor compliance with all internal & external policies, procedures, requirements, & protocol.
- Prepare & submit reports as required and requested.
- Assist with WFS billing and invoicing as part of the monitoring program.
- Assist & provide guidance to WFS collections on claims & adjustments.
- Prepare, submit, monitor, & follow up customer claims with input provided by other departments.
- Monitor Accounts Receivables and provide assistance as required.
- Other duties as assigned.
Requirements:
- Bachelor’s degree with proven of experience in related field – two years.
- Knowledge of various computer programs required (ex: Word, Excel, Power Point, etc.) and working experience with spreadsheets.
- Knowledge of Program Management, Process Optimization highly desirable
- Excellent oral and written English communication skills (C1)
- Effective team player, analytical and interpersonal skills.
- Ability to work independently under pressure and continuously meet deadlines.
