ABOUT YOUR ROLE

In this role, you will report the Senior Managing Director and Head of Global Alpha, providing them with support to help operate with efficiency and agility.

In your role as Executive Assistant, Global Alpha, you will:

  • Manage the Executive’s agenda through organizing meetings with ExCo committee, external partners, internal parties and participation in conferences

  • Prioritize requests, emails and meetings applying judgment, discretion and sound business acumen based on understanding of group objectives, processes and timeframes 

  • Participate in Global Alpha (GA) leadership meetings, share relevant information with members, relay and follow-up on action items

  • Work in close partnership with other GA Admins and Senior Leadership team

  • Act as liaison agent with various stakeholders internally and interact with key external partners, as well as high profile, senior level executives

  • Help create, proofread, edit communications on behalf of the Executive and consolidate documents for the Board of Directors, ExCo, GA meetings, etc. 

  • Manage travel itinerary and complete expense reports

  • May provide support in monitoring and managing budget and contract processes 

  • Lead project coordination of large events and meetings for the GA group 

  • Lead process improvement projects in collaboration with other administrative assistants and participate in/help coordinate business group projects as required 

  • Act as subject matter expert of Microsoft office suite and other department-specific systems 

  • Demonstrate integrity, the ability to maintain the utmost confidentiality and the capacity to manage many situations that will arise daily. 

WHAT YOU’LL NEED

  • Bachelor’s degree, or equivalent relevant experience

  • Proven experience, at least ten (10) years, in an executive assistant role or similar relevant role  

  • Advanced knowledge of Teams, Outlook, Word, Concur and PowerPoint and the interest and capacity to adapt to new technologies and tools

  • Ability to navigate in a fast-paced environment by displaying a high level of proactiveness, agility and accountability in all aspects of the role, including decision making and meeting deadlines

  • Ability to identify, analyze and solve complex administrative problems by analyzing risks and creating alternative solutions

  • Excellent ability to prioritize and multitask a wide range of concurrent responsibilities

  • Ability to handle sensitive and confidential information with the highest level of professionalism, discretion and good judgement to take appropriate decisions without supervision and in ambiguous circumstances

  • Strong interpersonal skills and listening skills, emotional intelligence, and ability to “read the room”

  • Effective communicator and confident to interact with high profile executives and ability to represent the Executive in a professional manner internally and externally

  • Ability to build and maintain a robust network

  • Demonstrates sound business acumen and understanding of PSP’s processes

  • Bilingualism in English and French *(Frequent interactions in English with PSP employees based in our office in New York, and interactions in French with employees in our local office in Montreal)
