ABOUT YOUR ROLE
Reporting to the Senior Vice President and Chief Risk Officer, the Executive Assistant will:

Provide overall administrative and operational support to the SVP by utilizing excellent communication skills, exercising sound judgment and discretion, interacting with internal and external partners, including senior level executives

Prioritize and pre-filter SVP’s emails and meetings applying judgment, discretion and sound business acumen based on understanding of group objectives, processes and timeframes

Manage the SVP’s agenda and coordinate his schedule, including coordinating meetings, creating agendas, organizing participation in conferences as well as handling meeting logistics

Responsible for the organization of the weekly investment committee, chaired by the Chief Risk Officer. Organization includes managing the meeting invitations, drafting the meeting agenda and minutes, and consolidating all relevant information for the CRO ahead of the meeting

Participates in weekly CRO leadership meetings, share relevant information with members, relay and follow-up on action items to the appropriate persons within the department or organization

Coordinate travel arrangements, providing all required documents (itineraries, tickets) and prepare expense reports

Work in close partnership with the CRO Senior management team

Help create, proofread, edit communications on behalf of the SVP and consolidate documents for the Board of Directors, ExCo, etc.

Help prepare PowerPoint presentations for various meetings and committees
-
Act as liaison agent with various stakeholders internally and externally and be the contact point for the Administrative Assistants in the department

May provide support in monitoring and managing budget and contract processes

Lead project coordination of large events and meetings for the CRO group

Lead process improvement projects in collaboration with other Administrative assistants and participate in/help coordinate business group projects as required

Act as subject matter expert of Microsoft office suite and other department-specific systems
-
Demonstrate integrity, the ability to maintain the utmost confidentiality and the capacity to manage many situations that will arise daily

Diploma in office technology, or equivalent experience. Bachelor’s degree an asset

At least ten (10) years of experience as an Administrative Assistant / Executive Assistant supporting senior management in a dynamic, professional, and complex organization

Project Management skills

Ability to use Diligent Board (Board management software), an asset
-
Advanced knowledge of Teams, Outlook, Word, Concur and PowerPoint and the interest and capacity to adapt to new technologies and tools.

Proficiency in English and French (or willingness to learn) (frequent interactions in English with PSP employees based in our offices in Hong Kong, London and New York, and interactions in French with employees in our local offices in Montreal and Ottawa)
