Position Summary:
We are seeking for a detail-oriented Client Compliance Coordinator. This role involves supporting the client compliance process with a focus on ensuring accurate and timely rate submissions, maintaining accurate records and communicate well between internal teams and Partners to ensure compliance. This role is overseen by the Manager of Client Compliance, the incumbent is responsible for the daily setup, review and maintenance of the 3E master files. The Coordinator is the main contact for the Firm’s billing departments with regard to setting up electronic billing for clients and administering accounts by periodically loading new rates. Frequently interacts and communicates with remainder of Accounting Department and 3E users, including Firm Partners and administrative staff.
Duties & Responsibilities:
- Responds to legal staff (Partners and Associates) and administrative staff (3E users) with day-to-day queries.
- Responsible for setting up, reviewing and maintaining the integrity of the Firm’s master files in 3E (timekeeper, client/matter information).
- Ensuring data accuracy and consistency across all systems.
- Assist with preparing and submitting rates to clients and tracking client rate approvals.
- Coordinates with other administrative departments in the management of the new matter intake process and facilitates with opening of new client matters by reviewing all documentation and verifying the required information.
- Reviews Outside Counsel Guidelines to ensure client/matters/timekeepers appropriately set up.
- Provides support for ad hoc requests/projects, including reporting and data analysis. And completes assigned departmental administrative tasks.
- Assist the Firm’s eBilling team in resolving billing rejections. Assist in vendor setups and mapping clients in the eBilling vendor sites. Acts as a point of contact for the Billing team and Clients. Ensures all engagement terms and client matter rates are compliant in 3E.
Qualifications:
Education / Experience: BA/BS in Accounting or Information Systems majors preferred.
Skills & Abilities: 3E experience required, preferably in a law firm. Prior experience in client compliance role. Strong attention to detail, ability to multi-task, team player, excellent communication and interpersonal skills. Experience with eBilling Platforms is preferred.
The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
New York Salary Range
$85,000—$95,000 USD
