The Administrative Assistant role involves a diverse range of responsibilities, including providing clerical and administrative support, delivering excellent customer service, assisting with logistics, provide support to new hires accordingly, and supporting the facility overall.
Essential Functions
- Ensure prompt and accurate shipping of customer orders by receiving orders, assembling pick lists, preparing packing slips, bills of lading and load maps and notifying shipping carriers when orders are ready for pickup.
- Utilize MAS software to update inventory based upon production results, receipt of materials and shipment of finished goods
- Prepare daily shipping and receiving logs
- Prepare shipping requests and non-inventory bills of lading for pallet return, scrap shipment and recycling of borings, etc.
- Process receipts for MRO supplies
- Works with uniform vendor on employee uniforms.
- Works with Human Resources regarding employees record and file retention.
- Manages lockers for employees.
- Update inventory for cycle count adjustments, customer returns, rework and other corrections.
- Assists with administrative duties such as event coordination, fund raiser coordination, scheduling of vendor events and landscapers, and other employee related events per the plant manager.
- Greets office visitors in a friendly and helpful manner.
- Answers multi-line phones assuring calls are forwarded appropriately.
- Mails packages and documents, and processes incoming and outgoing mail.
- Other duties as assigned.

- High level of professionalism and confidentiality
Experience
- 2-5 years of computer application knowledge
- Experience supporting multiple departments is preferred
- Proficiency in Microsoft Office Suite
