The Training & Administrative Specialist is responsible for managing the internal and external training system and performance management as well as manage employee certifications/licenses for site regulation compliance, lead site training compliance with ISO requirements, and coordinate newcomer training among other responsibilities, he/she would also act as the site IO leadership team, coordinating and consolidating IO team reports/KPI data, assist in annual budget planning and cost performance tracking, manage the IO recognition program, maintain the site-level organizational chart, and handle various administrative duties such as official document dispatch and archive, stamping process management, and other tasks assigned by the site leader.

Training Specialist:

  • Be responsible for site Internal/External training system & performance management (ex. Assign the training course based on role maps, maintain the training records, optimize training system, etc).
  • Manage the employee personal certification/license for site regulation compliance purpose.
  • Be responsible to lead site training compliance with ISO requirements.
  • Coordinate the newcomer training

Administrative Specialist:

  • Organize and coordinate both internal and external IO or site level meetings, ensuring all logistics are managed efficiently.
  • Plan and coordinate domestic and international travel itineraries for IO leaders, including flight bookings, accommodations, and transportation.
  • Coordinate and manage the logistics for international IO or site level visitors, including VISA application, transportation, accommodations and meeting schedules.
  • Act as site IO leadership team, responsible for coordinating and consolidating the IO team report/KPI data etc and others requested by site leader.
  • Assist in annually budget planning and cost performance tracking. Consolidate the budget report from cost center owners and prepare the review with site leader & cost accountant.
  • Manage IO recognition program, including monthly star, CI, etc.
  • Maintain site level o-chart.
  • Undertake administration and other office duties, including Official document dispatch and archive, stamping process management, etc.
  • Other tasks assigned by Site leader.

Qualifications

  • Minimum of 3 years of administrative support experience, with a preference for those who have supported operation leaders.
  • Basic knowledge for site operation is preferred.
  • Experience in training system management is preferred.
  • Excellent knowledge of MS Office
  • Strong organization skills, ability to multitask and prioritize daily workload
  • Detail oriented, disciplined, willing to learn, self-driven, highly motivated individual with positive energy
  • Good inter-personal skills and ability to collaborate with others and work in teams
  • Good writing and speaking in both Chinese and English
