Nextiva’s Talent Acquisition (TA) team operates strategically to identify, attract, and assess top talent for the organization; bringing innovative recruiting strategies to life in order to support the growing needs of the business.  Our team is comprised of forward thinking, motivated people who bring a unique way of thinking to tackle challenges.  

As a Sr. TA coordinator at Nextiva, you’ll play a pivotal role in the recruitment process, ensuring a seamless experience for both candidates and internal stakeholders. You’ll collaborate closely with Recruiters, Candidates and Hiring Managers to coordinate all aspects of the recruitment life cycle from job posting to onboarding. You’re a builder who thrives in a dynamic, fast paced environment – unafraid to embrace new ideas in the pursuit of continuous improvement.

What You’ll Do:

Coordinate Recruitment Process:

  • Create and post job listings on various job boards, company website, and social media platforms.
  • Schedule interviews, coordinate interview logistics, and communicate effectively with candidates and interviewers.

Candidate Engagement and Experience:

  • Serve as the primary point of contact for candidates throughout the recruitment process, providing timely updates and guidance.
  • Ensure a positive candidate experience from initial contact through onboarding via phone, text, video and/or face to face interactions.
  • Escort candidates to/from onsite interviews as well as provide office tours of Nextiva HQ.
  • Arrange travel and accommodations for out-of-town candidates, if necessary.
  • Facilitate pre-employment activities, including background checks and reference checks.

Administrative Support:

  • Assist with the creation and maintenance of recruitment-related documentation and assets, including candidate communications, job descriptions, and offer letters.
  • Prepare and distribute regular reports on recruitment metrics and activities.

Collaborative Partnership:

  • Collaborate with cross-functional teams, including HR, hiring managers, and department heads, to support recruitment goals and initiatives.
  • Participate in team meetings and contribute ideas for improving recruitment processes and strategies.
  • Act as a brand ambassador for Nextiva, promoting our culture and values to prospective candidates.
  • People team projects as needed.

Required Skills & Qualifications:

  • 2+ years experience in Talent Acquisition, Human Resources, or Administrative Support
  • Bachelor's or equivalent experience preferred
  • Creative writing and social media skills preferred
  • Greenhouse experience preferred
  • Experience with Diversity, Inclusion & Belonging (DIB) initiatives preferred
  • Experience working across multiple time zones preferred
  • Proactive attitude with a commitment to delivering exceptional customer service to candidates and internal stakeholders
  • Collaborative style; ability to develop and maintain effective working relationships both internal and external to the organization
  • Solid analytical capability; ability to exercise sound judgment; strong decision making skills
  • Ability to perform with a high degree of accuracy, strong attention to detail and quality
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines
  • Ability to take direction from multiple individuals and adapt to the work styles of others
  • Ability to associate and interact with all levels of the organization
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong technical aptitude. Advanced knowledge and skills with MS office to include: Word, Excel, and PowerPoint
  • Prior experience with Greenhouse or another Applicant Tracking System (ATS) preferred

Additional Requirements:

  • Able to work onsite at Nextiva HQ three days a week (at times flexing down to 2 days, or up to 4 days depending on business need)
  • Able to stand, walk and move around for extended periods in order to conduct office tours for prospective hires as well as escort candidates to and from onsite interviews
  • Able to lift and carry items needed for onsite interview preparation and set up
  • Reliable transportation & valid driver’s license for candidate experience related tasks (picking up items needed for onsite interviews, dropping off swag bags where candidates will be staying, etc.)
