About this role:
We are seeking a highly motivated, dynamic, and adaptable Training Assistant to lead department training efforts across multiple time zones while concurrently managing new hire training for our Portal and Invoicing team members. This pivotal role encompasses the development and maintenance of training programs within Order Management, the creation and revision of process documentation related to invoicing and portal systems, the support of daily invoicing and portal operations, and the facilitation of internal and external audit requests. The ideal candidate will possess exceptional organizational and communication skills, enabling them to effectively coordinate and deliver comprehensive training solutions that drive operational excellence.
What you’ll do:
- Oversee the Onboarding and granting access to all new hires located in India.
- Oversee and conduct training programs as needed throughout Order Management including Order Management Invoicing new hire training, Portal Team new hire training, and expansion training.
- Ensure the learning experience quality and effectiveness as measured through manager feedback of new hires effectiveness when transitioned to their new roles.
- Day to day training of associates while enrolled in Order Management/Portal new hire training.
- Collaborate with subject matter experts to ensure training content is accurate, relevant, and aligned with company goals
- Assist in the on-going development and refinement of the learning curricula that includes but is not limited to: Identify future training needs, design, develop, and deploy curriculum to facilitate new hire and expansion training
- Continually review and update existing training programs, modules, and materials as it pertains Order Management/Portal Team new hire training, Finance new hire training, and expansion training. Proactively review internal processes and provide recommendations for process improvements
- Ensure documentation is clear, comprehensive, and easily accessible to relevant stakeholders.
- Guide and mentor employees while they are enrolled in the OMB Training/Portal Team Course and give status reports to their hiring managers.
- Review customer orders and generate invoices within defined SLA. Invoices processed with a minimum of 95% accuracy
- Electronically retrieve client Purchase orders, and submit generated invoices through client E-Portals
- Follow up with Sales for purchase orders and signed agreements for letter of intent bookings
- Understand and adhere to all corporate guidelines for 30+ country and state specific billing & invoicing regulations, tax rules and exemptions
- Review Invoicing Work-In-Progress report for accuracy, provide feedback on potential issues and recommend potential edits for the Order Management team
- Work closes with cash applications to ensure payments and credits are properly applied, tax team to ensure all tax guidelines are understood and followed, order management to ensure booking data is updated and accurate, collections to ensure billing and invoice data is received and accurate.
- Create and manage proforma invoices per corporate guidelines and ensure 100% record keeping
- Keep and update accurate and detailed billing Manual for each supported region.
- Collecting documentation for internal and external audit requests with a minimum of 98% accuracy
What you’ll need:
- At least one year's experience in a role within the Order Management and Billing Department.
- Graduate degree, postgraduate in finance (MBA) preferred
- Proficient in OPI, Salesforce, and Microsoft programs
- Excellent oral and written communication skills; possess the ability to communicate and present with confidence to a diverse audience at various levels and all countries and cultures within the organization.
- Exceptional listening and customer service skills,
- Time management skills with the ability to work in a fast paced, high-pressure environment while meeting tight deadlines.
- Learning Management System, learning technology, and survey software a plus.
- Excellent analytical, problem solving and project management skills.
- Ability to identify areas for improvement and propose innovative solutions.
- Ability to adapt to a constantly changing environment.
- Excellent interpersonal skills, team player and teacher; ability to build strong internal/external business partnerships and excellent ability to retain and grow those relationships.
- Strong communication skills (both verbal and written) and interpersonal skills in order to effectively interact with all levels of associates on various subject matters and to convey knowledge and ideas in a logical, interesting, and engaging manner to others
