About the Role:

Works with general guidance and assumes responsibility for a definable portion of projects, coordination and/or process supporting the Executive Director of Marketing, and the broader Marketing Directors as needed. Creates and edits PowerPoint and other project documentation.

Your Contributions (include, but are not limited to):

  • Manages contract coordination for Product Theaters including submission all meeting materials in Veeva CRM for legal review and approval, contracting with speakers, contracting with associations to secure the sponsorship and supporting the team with logistical details as needed

  • Creates and manages coordination of field communication across marketing initiatives

  • Manages Marketing team calendars, rosters, and shared documents on company intranet website (SharePoint)

  • Oversees and manages all aspects of the Marketing new hire process and on-boarding by working closely with numerous functional heads

  • Works closely with HCP, Patient, Medical and Regional Marketing to develop annual budgets as well as budget tracking and submission of accruals

  • Coordinates financial processes, CDA’s, MSA’s, Work Orders, Invoices, managed multiple cost centers, vendors, internal routing (Coupa/Agiloft), creates and maintains annual cost analysis spreadsheet

  • Plans and executes multiple brand planning meetings, quarterly development workshops and offsite events. Provides analysis of marketing expenses, programs and events

  • Supports the Marketing teams (HCP, Patient, Medical and Regional Marketing) by being available to answer questions and provide direction to internal resources

  • Provides complex, diverse and confidential administrative duties for Executive Director, Marketing and provides broader support to the Marketing department

  • Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio/visual needs, presentations, and food and beverage catering

  • Collects and prepares information for use in discussions and meetings with staff and outside individuals as well as department team

  • Coordinates, creates, edits and assembles slides for presentations and provides assistance with collecting and effectively presenting executive-level information

  • Arranges department and group meetings (e.g., weekly Leadership Team meetings, staff meetings, periodic off-sites) ensuring all necessary information is available for discussion. helps track department level projects, activities and results

  • Compiles expense receipts, and completes and submits reports for expense reimbursements and credit card charge processing/validation to the accounting department

  • Other duties as assigned

Requirements:

  • BS/BA in business or related field is highly preferred and 4+ years of sales coordination experience working with senior management within and field teams, as well as customers, vendors, and other visitors, preferably within a commercial team. Requires experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel and expense report administration OR

  • MS or MBA degree and 2+ years of relevant experience

  • Prior experience in a biotech/life science, pharmaceutical or related industry preferred

  • Ability to create and edit complex PowerPoint and other project documentation using Microsoft Office programs

  • Exercises discretion and judgment regarding highly confidential internal and external communications and materials

  • Adaptability to changing needs and situations

  • Extreme attention to detail and ability to work independently on a broad variety of projects

  • Ability to anticipate, identify, and resolve problems in a timely manner

  • Ability to research, analyze, summarize, and report information in an effective manner

  • Must demonstrate professional demeanor at all times

  • Demonstrated ability to build and maintain cross-functional partnerships to achieve company goals

  • Excellent communication and presentation skills. Able to communicate verbally and in writing in a professional manner at all levels of the organization and with external contacts

  • Customer-focused with proven negotiation, analytical problem solving and training skills

  • Detail oriented, ability to multi-task, and work at a fast pace with a high degree of accuracy

  • Comfortable dealing with ambiguity

  • Understanding of data analysis and forecasting methods

  • Advanced computer skills in Word, Excel, PowerPoint

    The annual base salary we reasonably expect to pay is $101,200.00-$146,550.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
