What is the role?

As a Share Scheme Administrator at Howden, you will play a vital role in supporting the Shares Team in delivering share-related and ad hoc services to the Group’s boards, shareholders, and the wider business, ensuring full compliance with Group policies.

Your responsibilities will include day-to-day administration of shareholder and Diligent Entities, as well as Share Scheme databases and other manual or computer-based systems. This will involve data entry, validation, management, reconciliation, and drafting correspondence with shareholders. You will also provide support by responding to queries and assisting with share-related matters.

We are seeking 2x Administrators, each with a specific focus:

  • Role 1: A primary focus on shareholder acquisitions, reporting, and reconciliation.

  • Role 2: A primary focus on shareholder leavers, including producing leaver letters, monitoring share transfers, processing payments to leavers, and managing stamp duty payments to HMRC.

Please note that both roles are permanent, full-time roles based in our Central London office. Following a hybrid work pattern, you are expected to be onsite 3 days per week on average.

What will you be doing?

In addition to the above, both roles will contribute to:

  • Supporting projects such as Internal Share Offers, liquidity events, and the allotment of incentive awards.

  • Engaging with shareholders, including providing general information on shareholdings and Share Schemes, and assisting with share transfers while ensuring accurate and consistent processing.

  • Liaising with internal teams, including HR, Finance, Tax, and Legal, as well as external partners such as share registrars, legal advisers, and employee benefit trusts.

  • Reviewing and resolving issues raised by team members and internal partners, escalating as needed.

  • Producing financial and administrative reports from Diligent Entities and other sources.

  • Supporting team members with daily activities and continuously expanding knowledge of Diligent Entities and share scheme databases.

  • Filing forms and documents with Companies House and maintaining accurate records for hundreds or thousands of shareholders across various platforms.

  • Assisting with Group-wide projects, ad hoc matters, and developing strong relationships with employee shareholders.

  • Monitoring shareholder leaver processes, including payments, and assisting with future payment budgeting.

What are we looking for?

We’re looking for candidates with the following qualifications and skills:

  • Experience in Share Schemes and a strong desire to continue developing a career in this area.

  • Proven ability to manage share administration, including related processes, reconciliations, and drafting correspondence with shareholders.

  • Highly organised, with the ability to establish and implement effective control processes for detailed and accurate monitoring.

  • Excellent communication skills, particularly in drafting letters and emails to shareholders.

  • Ideally, completion of The Certificate in Employee Share Plans qualification.

  • Familiarity with Diligent Entities is highly preferred.
