Reporting to the National Director of IT and Operations, the Senior Operations Associate supports the remote and office operations of the organization across a wide range of areas, including office management, contracts, legal, finance, events, and basic IT support. They work well independently as well as within and across teams, are systems-oriented, highly detailed, and organized, and demonstrate strong communication and problem-solving skills. A positive customer-service attitude and a dedication to equity and inclusion in all operations work is essential.
Responsibilities:
- Remote and Office Operations
- Independently own and manage travel and operations-related systems and platforms (Egencia, Lyft, Airbnb, Boomerang, Dochub, LastPass, and others) and provide rapid troubleshooting assistance for users.
- Coordinate DC operations and logistics, including acquiring and managing DC workspace that is appropriately scaled for organizational needs and serving as the day-to-day point of contact for the office space vendor.
- Lead on procurement and distribution of office supplies to staff.
- Plan and execute event logistics, including venue selection, catering, attendee management, and post-event follow-up.
- Manage organizational correspondence through the general email account.
- Lead on knowledge management, including maintaining organizational documents in Zendesk.
- Onboarding of new staff in coordination with HR and other operations-related departments.
- Manage a few email inboxes like contacts@, operations@
- Other duties as assigned.
- IT and Software Management
- Coordinate with the National Director of IT and Operation to maintain an updated inventory of --computer devices and other electronic equipment.
- Coordinate the distribution of devices and equipment to new staff.
- Serve as primary day-to-day administrator of Google Groups.
- Work with the National Director of IT and Operations to ensure a robust set of systems (e.g. Slack, Zoom, Google Docs) to ensure smooth daily operations.
- Other duties as assigned.
- Contracts Management and Finance
- Facilitate and independently maintain filing systems for electronic documents (currently through Precisely).
- Process contracts in Precisely for the Organization.
- Review and submit expense reports for Operations and travel credit card accounts.
- Supporting contract leads in the overall contract submission, review, and approval process
- Annually review and improve where needed the contract management process
- Other duties as assigned.
- Organizational Culture
- Plan regular social activities in coordination with the Executive Operations Team that supports organizational culture in coordination with the social committee as relevant.
- Support planning and lead on logistics for all-staff retreats and other organizational in-person or remote events.
- Provide technical support for monthly all-staff meetings, draft and send meeting notes.
- Establish communication channels for the Finance and Office Management team to exchange knowledge that can enhance staff administrative efficiency.

Required Qualifications:
- Experience in an Administrative role.
- Ability to analyze and optimize processes for efficiency and effectiveness.
- Excellent written/verbal communication and listening skills.
- Strong interpersonal skills, with the ability to build relationships and collaborate effectively with colleagues and stakeholders.
- Strong analytical skills, with the ability to identify and analyze operational issues and develop practical solutions.
- Strong time-management skills, with the ability to meet deadlines and work efficiently.
- Exceptional organizational skills, with the ability to effectively manage multiple tasks and priorities.
- Must be detail and solution-oriented and have general troubleshooting skills.
- Experience in event planning and implementation.
- Experience with Google Workspace Applications (Gmail, Meet, Calendar, Docs) and Microsoft 365 license support.
- A proactive and solution-oriented approach to challenges.
- A commitment to continuous learning and process improvement.
Desired Qualifications:
- Experience in inventory management, database, or similar software is beneficial.
- Experience in planning, executing, and monitoring projects.
- Experience owning and operating systems and services.
- Experience with putting together training materials and providing training in the owned system.
- Previous experience in the contract management process.
- Some basic IT and billing experience is valuable.
