General Description:
The Senior Administrative Assistant will be responsible for providing support to the Israeli functional team of BeiGene. Key focuses on purchasing processes, contracting, filing, local payments and invoices tracking, local budget overview and tracking, vendor management, event support, team support, support in development of materials and local internal local /(external) communication assistance. Office management including office supplies, stationery and required bills.
Education Required:
Relevant degree or professional training in business administration, or parallel, advanced computer skills required. 5+ years of experience providing administrative support.
Essential Functions of the job:
General Administration:
- Provide general administrative/project support to the BeiGene Israel team.
- Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents.
- Organize mail, couriers.
- Support in organization of internal meetings and such with HCPs and partners, including catering.
- Support in management relationships with vendors, service providers, Vendor on-boarding, contract management and raising PO’s.
- Assistant support in cooperation with 3rd parties.
- Assist with travel arrangements for the leadership as back up.
- Support in management of local opex: raising PO and tracking of opex.
- Assist in on-boarding plan for new hires.
- Attend and prepare for the meetings and take meeting minutes.
- Manage office expenses and supplies.
- Office regular maintenance overview
Business Support:
- Support in external live and digital events (congresses, workshops etc.) in cooperation with local teams and /or agencies.
- Assistant support in cooperation with HCPs.
- Support in the preparation of materials according to the needs of the team concerned.
- Support in internal material approval and documentation process.
- Support in congress/conference planning and administration.
