The Project Coordinator to the EVP Global Customer Success will handle a wide variety of projects, duties and responsibilities that support the Global CSM organization and the EVP Global Customer Success. Being resourceful, handling sensitive data and navigating through complex issues in a very professional, objective and timely manner is essential.  Additionally, a valuable product will be to “create time” for the EVP Global Customer Success. 

Responsibilities:

  • Provide day-to-day technical and administrative support to the EVP Global Customer Success
  • Manage calendars, schedules and organize meetings 
  • Document and consistently follow up on important actions and decisions, keeping EVP Global Customer Success and Global CSM leadership aware of status
  • Accurately record meeting minutes
  • Develop, manage, and monitor project plans and schedules to ensure that project deadlines are met in a timely manner
  • Assess and manage adjustments to project deliverables and timelines to meet expectations
  • Perform research as required for certain projects, analyze data and submit to EVP Global Customer Success for review
  • Be very familiar with the organizational structure and interdepartmental lines and communications so as to effectively and efficiently carry out projects, tasks and activities
  • Ensure departments within Global CSM complete assigned tasks and activities in an efficient and effective manner
  • Anticipate leadership needs, proactively solve problems and independently handle issues as necessary
  • Monitor the flow of data, information and traffic throughout Global CSM 
  • Coordinate and plan employee engagement events
  • Assist in developing various charts, tables, reports and presentations with speed and accuracy
  • Screen calls, field inquiries and respond to requests of the EVP Global Customer Success as appropriate
  • Monitor EVP Global Customer Success email and route and/or respond as appropriate
  • Make all travel arrangements for EVP Global Customer Success, including assistance with any necessary visas and accommodations, and manage all related expense reimbursement
  • Log important events in Metapulse to create a historical reference of change for Global CSM
  • Work non-standard hours and coordinate with Global CSM personnel as necessary

Requirements:

  • Bachelor’s Degree preferred or equivalent work experience
  • Experience as an Executive Assistant
  • Experience with web browsers (Chrome, Internet Explorer, etc.)
  • Experience with G Suite (Gmail, Docs, Sheets, Slides)
  • Experience with MS Office (Word, Excel, PowerPoint
  • 1+ years of project management experience
  • Strong verbal and written communication skills
  • Excellent time management and organizational skills
  • Strong problem solving skills
  • Excellent research skills
  • Impeccable multi-tasking abilities
  • Team oriented with strong collaborative skills
  • Ability to work independently 
  • Ability to flex between different tasks and activities throughout the day and successfully complete assignments in order of priority
