PMO Admin/Support for Global Transformation Program (English & Japanese speaking)
Job Description
We are seeking a proactive and dynamic (junior) PMO Admin/Support out of Vietnam to join our PMO team. You will be supporting the Program Director for our Global Transformation Program (SAP S/4Hana, Rapid Response, GLM, ModelN, etc.) on execution and coordination across our operations in South East Asia, Europe and the USA. You will work closely with the PMO Team and liaise between Business Leads and IT Organization including implementation partners.
Key Responsibilities:
- Program Support: Assist the Program Director with administrative support in all aspects of project execution and day-to-day tasks.
- Reporting: Develop, maintain the project reports and dashboards to stakeholders.
- Schedule Management & meeting coordination: Manage the program’s calendar, including scheduling meetings and coordinating with international team. Prepare agendas, take detailed notes/minutes, and follow up on action items to ensure accountability and progress.
- Planning: Maintain project plans, track milestones
- Progress Monitoring: Chase up on deliverables, monitor project progress, and escalate issues as necessary to keep the project on track.
- Organizing the Co-Location Events: Organize and manage logistics for colocations for the global teams
Qualifications
Skills and Qualifications:
Communication: Strong verbal and written communication skills in English, not afraid to pick up the phone to contact the project team members. Bilingual (Japanese speaking is a plus)
Pragmatic Approach: Ability to take a practical and solution-oriented approach to problem-solving.
Travel: Willingness and ability to travel to South East Asia and USA for 1 to 2 weeks per month to support project activities.
Working Conditions:
- This is an international role requiring flexibility in working hours to accommodate different time zones.
- Significant travel is required, with trips to South East Asia, Europe and the USA for up to 1 to 2 weeks per month.
