Your role will be to ensure that employee experience, office operations, facilities and office management are done at the highest level; that Care, Speed and Individuality are values that the team not only lives out in how they work, but experience as they work. You will obsess over questions like are we set up to move quickly? Is the office impeccably organized? Is there a clear process and budget for food and supplies? Are we solving problems quickly? Are we estimating and managing projects to improve offices and facilities on time? In addition, this role will occasionally assist the Operations team with events and one-off projects.
What You’ll do?
- (Coordination) Work with MX HR Generalist to find cost efficient, quality vendors for all needs (food, supplies, construction, maintenance, decor, IT, special events, catering, etc).
- (Budgeting) Work with MX HR Generalist to roll up budgets to the Operations team for total team budgets.
- (Budgeting) Manage monthly corporate cards expenses, budget and report generation.
- (Facilities) Ensure computer equipment is organized, stocked and clean.
- (Facilities) General and overall cleanliness/organization of the workplace. Spot check work stations/conduct weekly company rounds.
- (Facilities) Office decor and environment maintenance.
- (Facilities) Manage office supplies/furniture/office equipment vendors, requests, ordering processes, stocking and organizing.
- (Facilities Equipment Maintenance)CCTV and Biometrics in collaboration with HR Generalist.
- (Office Activities/Events) Work with HR Generalist for scheduling + setting up of company activities (All Hands, L&L;s Team Buildings, etc.) including ensuring supply of food and beverage as needed.
- (Inventory) Identify, track and account for all office inventory -- laptops, furniture, art, etc via inventory system.
- (Ops Process) Manage system for office requests, stationery and scheduling food and supply orders.
- (Bills) Work with accountants and Accounting Manager to monitor vendor bills and paymentsManage, organize, and coordinate, billing related documents (invoices/referenced payments).
- (Mail) Manage all mail/parcels; incoming and outgoing.
- (Immigration) Assists employee immigration and travel needs to and from other global offices as needed.
- (Travel) Books travel requirements (flights, accommodation, land travel) as needed for Tala team members traveling to MX.
- (Travel) Shares and updates the MX Travel Cheat sheet when necessary.
- (Swag) Coordinates and manages swag budget, purchasing, and logistics.
- (EA) Director of EA agenda management (events & travel).
- (EA) Event planning support.
- (EA) Vendor management (contract management, quotes, invoice follow-up, E2E ZIP process)
What You’ll Need
- Attend weekly team huddles for tracking of tasks by the team.
- Set up food, venue, and technology (as needed) for weekly office activities such as Lunch & Learn and Team Buildings.
- Organize all travel for MX team going to the US, travel and accommodation requirements for MX team, as well as accommodation requirements for US team members coming to MX.
- Set up and management of conference rooms.
- Manage relationship with Building Manager assigned to Tala by Colony Spaces, by tracking supplies and cleanliness of office and giving feedback to cleaning assistant as well as line manager.
- Work with MX People Director on facilities projects including scouting for office spaces and coordination on possible office relocations.
- Research as needed and provide the Ops team with quotes and recommendations for vendors.
- Work with MX HR Generalist to ensure all accounts, equipment, and softwares are set up for new hires.
