Reporting to the Vice President, Human Resources & Administration, the Payroll & Compliance Coordinator is responsible for payroll processes for the company’s bi-weekly multi-site and multi-state payroll for 200+ employees. This position will perform a wide variety of payroll activities, including maintaining payroll records with accuracy, reviewing and auditing payroll records, researching, and compliance with state and federal regulations.
Responsibilities:
- Perform end-to-end processing of payroll in the US to ensure accurate and on-time payment for 200+ multi-state employees.
- Assist in researching state reporting requirements and wage and hour laws in each state Netradyne employs to ensure compliance.
- Research payroll issues/discrepancies and process necessary corrections.
- Oversees maintenance of payroll records and files including but not limited to sick time, vacation/PTO, and other accrued leave.
- Run custom reports that will involve strong knowledge of relational databases, MS Excel, and complex formulas.
- Assist with compliance-related matters such as but not limited to multi-jurisdiction tax withholdings, annual audits, balancing and reconciling data, etc.
- 401k – ensure withholdings, importing withholdings, and employer contributions to John Hancock; ensure 5500 is completed on time.
- Responds to routine inquiries concerning payroll deductions and accruals, wage garnishments, child support payments, and employment verifications.
- Conduct weekly, monthly, quarterly, and annual tax audits and ensure the accuracy of W-2s.
- Create, enhance, and/or maintain payroll documentation and checklists as it relates to day-to-day processing, operational procedures, compliance, and other payroll-related matters.
- Collaborate with internal (e.g., HR) and external stakeholders to ensure that policies and systems are equipped to meet current and future demands.
- Be the “resource” for our “customers” for all payroll and compliance needs.
- Perform other duties as assigned.
- Enhance professional growth and development through participation in educational programs, current literature, and workshops.
Background Required:
- 2 – 3 years of recent experience in a Payroll Coordinator role.
- Bachelor’s degree in Human Resources, Business, Finance, or Accounting preferred or equivalent.
- Working current knowledge of employment and payroll laws and regulations.
- Basic understanding of accounting, taxation, and finance concepts as they relate to payroll.
- Proven ability to work independently and collaboratively with team members and other stakeholders.
- Strong organizational and communication skills, combined with the ability to think creatively and embrace new ideas.
- Excellent interpersonal and customer service skills.
- Ability to work well under pressure and meet deadlines.
- Ability to maintain strict confidentiality of all information.
