Description
vHive is seeking an experienced Senior Operations Analyst to join our Operations team in Pune, India. This is a pivotal role that will focus on overseeing and optimizing the day-to-day operations involved in delivering our digital twin products. The ideal candidate will have extensive experience in operational management, with a strong emphasis on data-driven decision-making, quality control, and continuous process improvement. The role requires a deep understanding of operational workflows, resource management, and vendor relationships. The Senior Operations Analyst will be responsible for ensuring smooth and efficient data processing activities, collaborating with both internal teams and external suppliers to ensure high-quality product delivery. While technical knowledge in data annotation is valuable, the focus of the role is on driving operational best practices and managing key operational KPIs. The Senior Operations Analyst will report directly to the Director of Operations.
Key Responsibilities
1. Vendor Management
- Establish and maintain strong relationships with vendors to ensure timely and high-quality data product deliveries.
- Manage vendor work orders and purchase orders, ensuring compliance with service level agreements (SLAs).
- Collaborate with vendors to manage delivery prioritization schedules and ensure alignment with project timelines.
2. Process Improvement
- Identify bottlenecks and implement process enhancements to streamline data processing workflows.
- Develop and maintain dashboards for tracking issues and their resolutions.
- Manage and optimize the PO system for data annotation work order requests.
- Proficiency in optimizing processes to achieve better outcomes, including developing tools and dashboards.
3. Performance Monitoring and Reporting
- Track team and vendor performance against established metrics and SLAs.
- Generate detailed reports and insights to guide continuous improvement efforts.
- Monitor resource utilization to ensure alignment with project goals and timelines.
- Skilled in tracking team and vendor performance metrics to support informed decision-making.
4. Data-Driven Insights
- Collect, analyze, and utilize data to guide operational decisions and identify improvement opportunities.
- Proven experience in monitoring and ensuring compliance with SLAs, maintaining high-quality standards.
- Leverage predictive analytics to forecast workflow challenges and proactively implement solutions.
5. Bottleneck Management and Continuous Improvement
- Expertise in identifying bottlenecks in workflows and implementing solutions to enhance efficiency.
- Demonstrated ability to allocate and manage resources effectively to meet project goals and deadlines.
- Establish key performance indicators (KPIs) to measure and improve overall operational efficiency.
Requirements
Basic Requirements
- 5+ years of experience in a similar role within a software development company.
- Strong experiance with data analysis, process optimization, and performance tracking.
- Strong analytical skills – ability to collect, analyze, and interpret large data sets.
- Experience working with international organizations and teams across different time zones and cultures.
- Analytical mindset with proven ability to independently solve problems and implement solutions.
- Bachelor’s degree in a related field.
- Strong verbal and written English communication skills.
Preferred Requirements
- Proficiency in support ticket management tools such as Jira and Jira Service Management.
- Masters’s degree in Information Technology, Computer Science, Data Science, or a related field.
- Advanced knowledge of 2D and 3D CAD development processes and related software.
- Experience with data visualization tools (Atlas, Power BI).
- Familiarity with ERP & CRM systems (NetSuite, Salesforce).
- Experience with workflow automation tools (Zapier, UiPath, Alteryx) is a plus.
- Experience with forecasting, and resource planning.
- Familiarity with vendor management, and/or service operation
- Experience working in a start-up environment, including designing and implementing workflows and processes from scratch.
Skills and Experience
- Knowledge of software company operations, including feature releases and their impact on workflows.
- Proficiency in troubleshooting and diagnosing technical issues with swift resolution.
- Proficiency in Excel, Google sheets etc.
- Ability to work effectively with international teams across various communication platforms (e.g., Zoom, Slack, WhatsApp).
- Ability to identify inefficiencies and recommend process improvements.
- Strong understanding of KPIs, reporting, and performance metrics.
- Demonstrated experience monitoring SLAs and using tools to manage vendor deliveries.
