Position Overview

Job Summary:

We are seeking a highly proactive and polished Operations Associate to support leadership in a fast-paced and dynamic environment. The ideal candidate will excel in managing multiple priorities with a keen ability to navigate ambiguity. This role requires exceptional organizational skills, attention to detail, and a commitment to professionalism while interacting with high-level executives and clients.

Key Responsibilities:

  • Calendar Management: Efficiently manage and coordinate complex executive calendars, including scheduling meetings, appointments, and events, while prioritizing conflicting demands.
  • Travel Coordination: Organize domestic and international travel arrangements, including flight bookings, accommodations, and itineraries, ensuring a seamless travel experience.
  • Expense Management: Process and track expenses for executives, ensuring accuracy and timely submission of expense reports.
  • Client Follow-Up: Manage follow-up communications and ensuring timely responses to inquiries.
  • Department Organization: Assist in the organization and coordination of departmental projects, meetings, and communications to ensure smooth operations.
  • Communication: Serve as a liaison between executives and internal/external stakeholders, demonstrating professionalism and discretion in all interactions.
  • Problem-Solving: Proactively identify potential challenges and develop solutions to ensure efficient workflows and project completion.
  • Miscellaneous Tasks: Perform various administrative tasks as needed to support the executive team.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role supporting senior executives.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong communication skills, both verbal and written, with a polished and professional demeanor.
  • Comfortable navigating ambiguity and adapting to a rapidly changing environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • High level of discretion and confidentiality in handling sensitive information.
  • Bachelor's degree or equivalent experience preferred.

Salary Range: $50,000 - $65,000

The salary range provided represents what a potential hire may expect to earn in this role at BGB.   Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience (both direct and indirect), education, training, demonstrated qualifications, and organizational need. Salary is only one component of the total rewards package offered at BGB Group.
