Job Overview:
The Office Services Associate provides exceptional service by greeting and assisting all visitors and answering inbound calls. Continuously offers the highest level of service to all corporate employees and their visitors. Maintains a professional image of the company by providing prompt, courteous, and efficient service. As an effort to be a cross-trained team player, the receptionist may be called upon to assist in other SPS service areas such as, but not limited to mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience.
Overall, this position continuously offers the highest level of service to all clients and SPS employees while maintaining a professional image of the company by providing prompt, courteous, and efficient service.
Main Functions:
Facilities & Workplace Operations
1) Serve as the go-to support for day-to-day office and facilities needs, including light maintenance and coordination with vendors and building management.
2) Ensure common areas are clean, stocked, and organized (pantries, conference rooms, supply areas, etc.).
3) Assist with desk moves, office setups, and workstation ergonomics.
Mailroom Services
1) Manage inbound and outbound mail and packages.
2) Coordinate with couriers and delivery services to ensure timely and secure handling.
3) Maintain logs and systems for tracking deliveries.
Reception & Front Desk Coverage
1) Greet and direct visitors and clients with professionalism and warmth.
2) Handle incoming calls and messages as needed.
3) Maintain a polished and welcoming front desk area.
Catering & Hospitality
1) Set up and break down daily catering services, meetings, and special events.
2) Liaise with catering vendors and ensure timely, high-quality food service.
3) Manage lunch pickup logistics and occasional offsite orders for meetings or teams.
Workplace Experience
1) Support a high-touch, white-glove service culture across the office.
2) Anticipate employee and guest needs to create a seamless and comfortable environment.
3) Partner with People/HR and Events teams to support on-site events and initiatives.
Qualifications and Education Requirements:
- 2+ years of relevant experience in workplace operations, hospitality, facilities, or office management.
- Excellent communication and interpersonal skills.
- Strong multitasking abilities and a calm demeanor under pressure.
- High level of professionalism, discretion, and confidentiality.
- Tech-savvy with proficiency in tools like Microsoft Office and workplace management platforms (Zoom, Mattermost, etc.)
- Ability to lift up to 30 lbs and be on your feet for extended periods when needed.
