An Office Coordinator at CloudZero in Boston plays a key role in ensuring the smooth operation of the Boston Collaboration Center (office) by managing day-to-day administrative tasks and projects. These responsibilities include the management and maintenance of office supplies, conference room booking and requests, coordination of office events, and building management communication. The role also involves acting as a point of contact for employees, visitors, and vendors, ensuring a positive, welcoming and organized work environment. Strong project management and communication skills are essential in supporting our people and fostering a collaborative culture.
Responsibilities
Office Maintenance
- Daily restocking and ordering of kitchen supplies and equipment (snacks, beverages, etc.)
- Regular organization and daily clean-up of kitchen, common areas, conference rooms and fridge
- Breaking down and disposing of boxes from deliveries
Office Management
- Distribute mail and packages to appropriate team members
- Welcome office employees, visitors, and vendors by greeting them at the front desk
- Inform employees of the arrival of their guests and ensure conference room is set up and ready
- Create tickets for building management issues and maintenance needs
- Assist in organizing office events, including logistics, setup, and communication with building management and the People & Culture team
- Responsible for ordering/delivering catering and handling all post-event clean-up
- Manage employee badges creation in Building Engines
- Respond to employee office requests / needs / questions while providing an exceptional employee experience for all
- In-office role, with the ability to commute into our downtown Boston Collaboration Center 3 times a week, or as needed
- Excellent organizational and time management abilities
- Exceptional customer service and interpersonal skills with positive attitude
- Passion for creating collaborative and fun workplace environments
- 1+ years of experience in corporate office administration/management or related role
