Your Responsibilities
- Answering and directing internal and external phone calls
- Sorting and distributing of incoming daily mail and assisting in processing outgoing mail (arranging couriers)
- Greeting visitors and suppliers
- Being the first point of contact for clients, suppliers and colleagues and assist them with their various requests
- Handling of general administrative tasks (copies, scans, prints)
- Organizing and coordinating of meetings and corporate events
- Assisting the Management when required
- Setting up conference rooms
- Compiling checklists for building maintenance issues and placing maintenance requests with the facility management
- Supporting the facility management team
- Ordering and distributing of office materials and marketing supplies; keeping an inventory of stock
- Supporting colleagues with the organization of their business trips
- Coordinating the occupancy and cleaning of corporate apartments
- Supporting internal teams upon request
Your Profile
- A degree and/or professional work experience in the administrative field
- Strong organizational and administrative skills
- Hands-on mentality
- Independent, fast-learning, motivated and able to work under pressure
- Excellent communication skills
- Friendly and open-minded personality, team player
- Proficiency in Microsoft office software (Word, Excel, PowerPoint and Outlook)
- Fluency in English, German and French is mandatory; additional languages will be considered as an asset
