We’re searching for a dynamic, detail-oriented Office Manager at our Belgrade office. You will play a key role in maintaining a productive and energized workspace, overseeing day-to-day operations, managing budgets, and driving office initiatives. This role is onsite, based out of Belgrade, Serbia.

Responsibilities:

  • Take full responsibility for daily office operations, including maintaining office supplies, snacks, equipment, and facilities. Oversee visitors in the office and manage the mail. Ensure the office is clean, organized, and safe for employees and visitors. Coordinate repairs and maintenance for office equipment and facilities.
  • Manage the office budget with creativity and resourcefulness; handle expense reports and work closely with Finance for alignment. Assist with invoicing, purchase orders, and expense tracking. Maintain accurate records of office expenditures and reconcile accounts as needed.
  • Ensure office policies and procedures are followed, constantly looking for ways to improve efficiency.
  • Coordinate and negotiate with vendors and suppliers, and monitor the quality of services provided.
  • Assist with onboarding new employees, including preparing desks, equipment, and providing necessary materials.
  • Organize and coordinate office events, meetings, and team-building activities. Be a point of contact for employee inquiries regarding office policies, procedures, and resources. Provide site tours to onboard new employees.
  • Back up HR support with administrative tasks as needed.
  • Work closely with Legal or relevant stakeholders to coordinate site specific regulatory requirements such as bank guarantee, ecology related report, site/property/equipment insurance, etc.
  • Manage and coordinate import logistics for Tenstorrent equipment into Serbia, working closely with customs authorities and freight forwarding companies to ensure smooth and timely deliveries.


Experience & Qualifications:

  • BSc degree in Business Administration, Hospitality Management, or a related field.
  • Excellent organizational and time management skills with the ability to prioritize effectively.
  • Strong written and verbal communication skills.
  • A problem-solving, solution-oriented mindset with strategic thinking capabilities.
  • Self-motivated and proactive in identifying needs and addressing them.
  • Solid project management skills with a high level of follow-through with stakeholders.
  • Onsite availability at our Belgrade office, Monday to Friday.
