The Manager of Data Analysis and Reporting in the Office of Institutional Advancement (IA) is a Supervisory position that oversees IA system functionality and needs, data reporting and analysis, data management and maintenance including accuracy and integrity of changes, updates and cleanup to biographical, demographical, education and other information, as well as data extraction for various list needs, which is essential to the successful administration of fundraising efforts. This position also serves as backup in these respective areas where necessary, and for other key Advancement Services functions such as gift processing.

QUALIFICATIONS:

Education

  • Undergraduate degree from an accredited college or university preferred.

Experience and Training

  • A minimum of 5 years of experience with data management, manipulation, or cleanup.
  • Experience using relational database programs and Microsoft Office software is required.
  • Required minimum of 5 years of experience in report writing and data output.
  • Raiser’s Edge or comparable fundraising system knowledge and experience strongly preferred.
  • Supervisory experience required.

Knowledge, Skills, Ability:

  • Considerable knowledge of system databases, data elements, and data management.
  • Understanding of programming logic.
  • Strong analytical skills.
  • Proficiency in Microsoft Office computer applications (Word, Excel).
  • Strong written, oral and interpersonal communication skills.
  • Critical thinking abilities.
  • Strong attention to detail.
  • Ability to maintain confidentiality, and utilize discretion and good judgment.

ESSENTIAL FUNCTIONS:  

  • Directly supervises and is responsible for maintaining staffing of qualified professionals for the Data Analysis and Reporting Specialist and Advancement Data Specialist positions.
  • Serves as front-line resource for support, issues and questions regarding IA system functions, data integrity and accuracy, data management and coding, data extraction, and analysis/reporting.
  • Takes lead in managing and maintaining system access and security, working jointly with the Data Analysis and Reporting Specialist and Advancement Data Specialist.
  • Serves as central resource for data requests. Reviews for appropriateness, clarifies questions or issues, and ensures work is completed or assigned to be completed and delivered on time and accurately.
  • Maintains policies and procedures for key processes related to areas of responsibility.
  • Works in tandem with the Manager of Gifts and Records Administration to ensure consistency in data coding, data management and reporting.
  • Routinely reviews and audits data to ensure accuracy.
  • Researches, develops, implements and enforces University policies and procedures jointly with the Advancement Systems Manager to ensure compliance with IRS, UPMIFA and FASB regulations regarding charitable giving, including technical advances and changes in accounting practices and laws.
  • Oversees work with the IT, Financial Aid and Business Office offices, as well as annual auditors and all other departments with operational needs related to the Institutional Advancement function.
  • Assists with fiscal budget requirements for the department as it relates to Advancement data and  systems.
  • Oversees imports/exports or manages software that performs imports/exports of data for third party systems.
  • Ensures accuracy of all constituent codes and revision at appropriate times.
  • Oversees and/or performs ongoing data maintenance of the IA database, ensuring accuracy and integrity on biographical, demographical, and education information.
  • Researches ambiguous or incomplete updates to ensure constituent records are complete.
  • Oversees cleanup and validation of data as directed, including special projects.
  • Acquires data from outside sources to incorporate changes or new data into the database.
  • Designs and creates queries/exports for data extraction and ad-hoc list pulling for mailing lists, contact lists, geographical constituent lists, etc.
  • Maintains and manages documentation regarding list criteria, obtaining appropriate approval before and after data extraction and sharing.
  • Contributes to team effort by assisting with other Advancement Services work as needed.
  • Identifies and defines new process improvement opportunities.
  • Assists in testing data as needed.
  • Ensures accuracy of information by making revisions according to policies and procedures.
  • Communicates routinely and effectively with the Assistant Vice President of Advancement Services, the Data Analysis and Reporting Specialist, the Advancement Data Specialist, and the Gifts and Records Administration team.
  • Other duties as assigned.

ACCOUNTABILITY:

  • Maintains positive donor relations through effective management of the development data and gift processing.
  • Ensures timely and accurate revisions, processing and reporting to track and assist with successful fundraising activities.
  • Supervised by Assistant Vice President of Advancement Services.
  • Supervises Data Analysis and Reporting Specialist and Advancement Data Specialist.
