Job Description

The Logistics Manager will be responsible for overseeing and optimising all aspects of the back of house area covering the small sample warehouse and dispatch operations, plus the goods in and stores function for the NL laboratory teams and associated customers. This includes safe storage of required stock levels, coordinating shipping, receiving and processing inward deliveries, onward distribution, and inward collection of items from laboratory teams. Ensure all associated paperwork, operating procedures and policies meet legal obligations, and related activities are carried out in a safe and secure manner.

Key Responsibilities

  • Line Management of the Logistics and Stores staff including carrying out annual appraisal and putting in place staff development plans, planning work rotas, assigning tasks appropriately and appraising results, giving feedback in constructive manner when required.
  • Work in accordance with LGC’s health and safety, quality assurance and security policies, procedures and work instructions, including the wearing of provided PPE where appropriate (completion of the appropriate training programs as provided).
  • Put in place and manage processes to maintain an organised, safe and clean work environment by keeping shelving, cold rooms, freezer area, pallet area, external store and workstations neat and tidy.
  • Maintain equipment and relevant storage areas such as cold rooms.
  • Promote a culture that foster continuous improvement within the team, putting forward ideas (and implementing where agreed) mechanisms to enhance efficiency, utilise space well, reduce costs, improve quality of service to the laboratory and office teams, collaborating with other departments as required.
  • Produce reports as required for NL, corporate teams and customers.

Dispatch/Goods Outwards and In:

  • Oversee the picking, packing and managing the safe and secure storage and transportation of goods and products from NL laboratory teams for onward external distribution in an efficient fashion, and with suitable quality assurance measures (such as four eyes principle), as set out in SLA’s and KPIs and that are translated into implemented work instructions.
  • Ensure all administrative processing of goods out and in are carried out in an accurate and timely manner using the appropriate internal systems and follows legislation and industry standards for the concerning shipment-countries.
  • Management of the postal function.
  • Liaison with other departments (MHRA, reference materials, LGC Standards, IT, procurement) to ensure they have the necessary information that impact their departments/functions and to keep dispatch operating smoothly. Includes working collaboratively with laboratory teams to arrange shipments to other sites, distribute complex samples required for international laboratory trials.
  • Liaise and advice other warehouses within LGC standards (such as Bury, Luckenwalde), to ensure correct stock levels of NL products are maintained.
  • Manage the purchasing and stock control of packaging and packing equipment, remaining within budget.
  • Maintain ‘Dangerous Goods’ certification.
  • Manage the delivery of all goods to Stores including chemicals and lab gases from suppliers/carriers. Ensure onward distribution and storage is carried out in a safe and efficient fashion.
  • Maintain supply of bulk gases to Lab Teams.
  • Manage the safe collection of waste (such as chemical and clinical) prepare consignment for onward shipment, disposal or storage (including segregation of specialised waste) completing necessary paperwork where appropriate.
  • Manage and maintain local quality related procedures and paperwork.
  • Work with the Building Services Manager and wider FM Team to assist with day-to-day building issues when required.

Person Specification:

  • The job holder should have excellent communication and interpersonal skills and work well as part of a small team and have extensive line management experience.
  • They should have excellent organisational, and problem-solving skills and look to proactively initiate and implement improvements where required.
  • Attention to detail is paramount to successful delivery of this role.
  • Be flexible and deliver results under pressure to fulfil tight customer deadlines.
  • This is a physical role and requires staff to routinely lift deliveries using the correct equipment provided, and follow manual handling and waste handling best practice (completion of the appropriate training programs will be provided), specifically:
    • The role requires staff to be on their feet for a good proportion of the day.
    • The candidate may have to regularly lift and/or move objects 4.5-22 kg and occasionally lift and/or move objects that weigh more than 45kg with appropriate equipment and training.
  • You will need to be flexible to meet the needs of the back of house area (covering Stores and Dispatch).
  • Provide out of hours support where required.

Qualifications

  • Proven experience in a similar role or formal qualification in logistics or similar.
  • Knowledge of legislation and documentation required in relation to transport & customs compliance.
  • Good level of computer literacy and keyboard skills
  • Proficient in Microsoft Office 365 and logistics software
  • Knowledge of Enterprise resource planning (ERP) systems such as IFS.
  • Working knowledge of stores management procedures and best practice
  • Experience of implementing process improvement initiatives
  • Effective leadership skills and proven ability of managing staff effectively.
  • Health and Safety, and quality awareness.
  • Hold dangerous goods license.
  • Waste handling knowledge and experience in the safe handling of laboratory gases is desirable.
  • Knowledge of Legionella monitoring and fire awareness is desirable.
