Position is responsible for managing an administrative function of a department or general office. Also, responsible for performing complex and diversified administrative duties for a department or general office.
We are looking for a professional, polished, and proactive Lead Office Assistant to join our team. The ideal candidate will have a warm and positive attitude, strong attention to detail, and the ability to take initiative in ensuring the unit runs smoothly. Key Responsibilities:
• Greet patients, visitors, and staff with warmth and professionalism.
• Answer phone calls and call lights promptly and efficiently.
• Ensure patient rooms are fully prepared prior to admission.
• Keep the unit stocked with necessary supplies, beverages, and snacks.
• Regularly round on patients and family members to provide assistance and enhance their experience.
• Collaborate closely with other departments to facilitate smooth operations.
• Handle small but important details that contribute to a well-functioning and welcoming environment.
Qualifications & Skills:
• Strong interpersonal and communication skills.
• Ability to take initiative and anticipate needs without being asked.
• Detail-oriented with excellent organizational abilities.
• A professional and polished demeanor with a friendly, welcoming attitude.
• Ability to multitask and work efficiently in a fast-paced environment.
• Prior experience in a healthcare or customer service setting is a plus.Job Description

Minimum Qualifications

Education: High School Diploma preferred

Licenses/Certifications: (None)

Experience / Knowledge / Skills:

  • At least eight (8) years current clerical experience
  • Advanced computer skills; Supervisory skills and ability to manage a function
  • Must have ability to perform complex and diverse administrative duties that involve application of procedures, independent analysis, interpretation of data and demonstrated appropriate judgment

Principal Accountabilities

  • Manages a primary function for a department or general office.
  • Orients and trains employees regarding system and hospital policies and procedures. May be responsible for directing and reviewing work of lower level office clerks.
  • Develops and produces reports, letters, memorandum, minutes and other departmental correspondence; maintains and updates files for area of responsibility.
  • Identifies and responds to problems with appropriate action and follow-up. Reviews departmental process to seek improvement.
  • Ensures safe care to patients, staff and visitors; adheres to all Memorial Hermann policies, procedures, and standards within budgetary specifications including time management, supply management, productivity and quality of service.
  • Promotes individual professional growth and development by meeting requirements for mandatory/continuing education and skills competency; supports department-based goals which contribute to the success of the organization; serves as preceptor, mentor and resource to less experienced staff.
  • Demonstrates commitment to caring for every member of our community by creating compassionate and personalized experiences. Models Memorial Hermann’s service standards by providing safe, caring, personalized and efficient experiences to patients and colleagues.
