This role requires someone who can own their work and drive it forward, ensuring our HR processes, payroll, benefits administration, and talent strategies run seamlessly. You'll collaborate closely with leaders and employees to foster a people-first culture while also taking the lead on critical projects that enhance our employee experience.
Responsibilities:
Payroll & Compliance

  • Ensure accurate and timely payroll processing for salaries, benefits, taxes, deductions, etc., keeping a pulse on multi-state compliance.
  • Manage payroll updates for new hires, terminations, and pay rate changes
  • Maintain payroll records and ensure compliance with wage laws and best practices
  • Support audits and compliance reporting (EEO-1, ACA, W-2, 1095-C)
  • Process intern and freelancer payroll
  • Manage paid time off (PTO) balances and time-tracking system administration
  • Oversee 401(k) updates, distributions, new hires and terminations
  • Complete annual compensation summaries

Benefits Administration & Employee Support

  • Administer employee benefits programs, including enrollments, terminations and changes
  • Act as the primary point of contact for benefits claims, open enrollment and policy clarifications
  • Ensure compliance with ACA, COBRA, ERISA, FMLA, ADA and other regulations
  • Manage employee leave-of-absence requests, including FMLA, short-term disability and parental leave
  • Manage Professional Development Fund utilization, helping team members grow and thrive

Talent Acquisition & Onboarding

  • Champion full-cycle recruiting, including job postings, resume screening, interviews, and offer letter generation
  • Partner with hiring managers to streamline recruitment processes and improve candidate experience
  • Own new hire onboarding, ensuring a smooth transition with paperwork, benefits enrollment and first-day activities
  • Strengthen offboarding experiences to ensure seamless, thoughtful transitions that reflect Hiebing’s people-first culture

HR Operations & Culture Support

  • Serve as a trusted resource for employment-related questions, ensuring clarity and consistency in HR policies
  • Maintain HRIS and employee records, ensuring data integrity and efficiency
  • Support Hiebing’s engagement and retention strategies, making sure our people feel connected, valued and supported
  • Handle employment verifications and unemployment correspondence
  • Partner with Associate Director of Human Resources and cross-functional teams to continuously improve HR processes and experiences that align with Hiebing’s people-first culture

Education/Experience:

  • Bachelor’s degree in HR, Accounting, Finance or equivalent experience
  • At least five years in HR, payroll or benefits administration
  • Expertise in payroll processing software, HRIS systems and multi-state compliance
  • Deep knowledge of employment laws, payroll tax regulations and HR best practices
  • High attention to detail, especially in payroll, compliance and data management
  • Strong proficiency in Microsoft Excel and HR analytics
  • Exceptional communication and relationship building skills – able to navigate fast-moving priorities with confidence
  • A problem solving, process-improvement mindset with ability to take ownership and drive work forward
  • A passion for making the employee experience smoother, more engaging and more human
  • A “We Before Me” mindset – team player, collaborator and culture champion who also thrives when leading projects independently
  • Ability to work in the US without sponsorship, now or in future
