Description
The Lisbon Places team at Cloudflare is searching for a stellar Front Desk Coordinator to be the first line of delight in our beautiful new Lisbon office. You are friendly, outgoing, and patient with an obsession for organization and a knack for keeping it together in a (really) fast-paced environment. You're also a self-starter who's willing to do whatever it takes to help make the Cloudflare office a wonderful place to be for employees and guests alike.
Key Responsibilities

  • Ensure that the reception desk is covered at all times
  • Ensure that the reception area is neat, tidy, and stocked
  • Greet and register guests, external visitors, vendors, and interview candidates
  • Assist the Lisbon team with online and in-person enquiries
  • Monitor office requests, chats and emails. Answer and act upon queries accordingly, and respond to all Lisbon office requests in a timely manner
  • Collect and distribute mail and deliveries as well as send the occasional parcel
  • Interface with catering, food, janitorial, maintenance, and security vendors as needed
  • Help with event planning, setup, and teardown
  • Participate in facilities/office operations planning meetings as needed
  • Escalate site maintenance and security issues to Office Operations Manager
  • Provide general administrative support on an on-going basis, with potential EMEA admin coverage from time to time


Requirements

  • Fluent in English and Portuguese
  • Customer service oriented with an outgoing, patient, and professional demeanor
  • Effective verbal and written communication skills
  • High attention to detail
  • Solutions-oriented mindset
  • 2+ years experience in reception/facilities operations or a similar field


Desired but not required

  • First aid and fire marshal certification desired but not required (necessary training will be provided)
  • Vendor comparison and management experience
  • Experience using Google Workspace, Confluence, and JIRA
