Job Summary

Join our vibrant team as a Financial Specialist in the Port Operations department! In this role, you will work closely with the Manager, Port Operations and Financial Services team to receive, analyze, and process all port invoices (Final Disbursement Statements) and Guest Port Services turnaround invoices.  In addition to managing port invoices, you will oversee the department’s vendors (port agents and ground operators), ensuring they are onboarded by the Finance and Treasury departments.  The successful candidate will be highly motivated with strong cross-functional operations and relationship building skills, superior organizational skills, above par attention to detail and will be highly proactive.

Essential Functions

• Supports the Port Operations Manager with budget and finance requests.
• Maintain vendor profiles in MXP and ensure all Port Operations and Guest Port Services vendors are onboarded and entered into MXP. 
• Maintains constant rapport with port agents and ground handlers as well as the shipboard leadership to ensure invoices received are in line with the expenses/services listed on the PSSF (Port Services Summary Form).
• Produces detailed month-end reports based on invoices received and remitted monthly.
• Full understanding of Financial Services, Guest Port Services, and Port Operations.
• Produce and communicate the prepayments for port agents in advance of a port call to the Accounts Payable team. Ensure invoices are reviewed, authorized, and approved by appropriate management.
• Verify Final Disbursement Accounts (FDA) and turnaround invoices are correct, based on the approved PSSF and Port Operations budget.
• Identify new business opportunities or potential risks based on data analysis for the Port Operations/Guest Port Services team.
• Work with various operations departments and company executives to provide compelling and actionable data-driven insights.
• Gathers and organizes raw statistical and narrative data and other helpful information upon which operational decisions may be made for future departmental forecasts.

Competency

Education: 

• Bachelor’s degree or equivalent combination of education & experience

Skills & Experience

• 3+ years of Guest Port Services or Operations experience. Previous experience with port services planning or operations preferred
• 3-5 years of experience with port finance, agreements, due diligence, and other corporate development-related work
• Strong understanding of financial management and budgeting
• Prior experience in the cruise or hospitality industry is preferred
• Knowledge of and ability to develop and comprehend operating budgets and forecasts of varying complexity for the Port Operations and Guest Port Services departments
• Competency in Microsoft Office suite with excellent skills in MS Word, Outlook, and PowerPoint
• Advanced MS Excel skills required: charts/graphs, pivot tables, advanced formula creation, and data manipulation.
• Curious, internally motivated self-starter with the ability to plan, organize, and establish priorities to manage multiple projects and achieve results
• Strong interpersonal communication and presentation skills
• Highly self-motivated, with the ability to work in a fast-paced, deadline-oriented environment
• Ability to maintain positive, pleasant behavior while engaging guests & tour operators
• Excellent written & verbal communication skills
• Fluent English
• Ability to effectively conduct research, compile data, prepare reports, and present findings to management

Work Environment

• Hybrid office environment
• Proper documentation to travel domestically & internationally (i.e., valid passport) and ability to travel on short notice as well as work non-traditional hours as needed.
