Job Overview:
As an Executive Assistant, you will provide executive administrative support, with primary responsibilities including managing heavy meeting scheduling, coordination of in-person meetings and preparation of meeting materials, managing travel, expenses, maintaining calendars and files, and other duties as assigned.
Responsibilities:

Handle all day-to-day responsibilities to support the leadership team within the Controllership organization. This includes and is not limited to scheduling and coordinating meetings (Controllership townhalls, recurring internal touchpoints, vendor meetings), collecting meeting materials and other general administrative functions such as organizing building/badge/network access and reserving desks for non-employees.

Calendar all recurring and vendor meetings and keep leaders current with any changes; provide materials, coordinate tech support and order food/beverages where applicable. Be aware and inform leaders of enterprise-wide events that will impact the Controllership organization.

Anticipate needs of the Controllership organization to organize and streamline daily deliverables.

Heavy travel coordination: arranging all aspects of travel including air, lodging, and transportation in conjunction with the corporate travel department; assisting with issues that may arise during travel. Management of expense reports for the leadership team.

Maintain organizational charts for the department in Lucid, update team sites and maintain/update departmental PowerPoint presentations.

Serve as a go-to resource for leaders and other team members by creating deep networks within the company and relationships with other administrative staff. Stay connected to the greater Finance, Operations & Risk organization on interconnected events throughout the year.

Work professionally with senior executives and clients, think and work independently, be proactive, handle confidential information and work effectively and efficiently.

Requirements:

Minimum of 6 years experience in an executive assistant role.

Extensive experience and comfort working with high-level executives; this is a high visibility position.

Exceptional travel arrangement experience with proven success working across multiple time zones.

Exceptional knowledge of all Microsoft applications - Excel, PowerPoint, Outlook, Word.

Requires strong attention to detail and ability to prioritize tasks.

Pay Range:
$34.56-$57.60/hour
Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
