This position can be based either in Boulogne-Billancourt (France) or Munich (Germany)
As an Executive Assistant you will be the central point of contact and the right hand of the C-Level management team. You will ensure the smooth execution of administrative and organizational tasks, support strategic and operational matters, and act as a liaison between internal and external stakeholders. Your goal is to provide the best possible support to the C-Level leadership through efficient organization and proactive action. With the career potential to advance also further in the organization in other positions.
Tasks and Responsabilities :
- Managing CEO Staff meetings and other executive meetings, including agenda, presentations, meeting minutes
- Following up on meetings, creating presentations, minutes, and decision-making documents
- Handling communication and interface management, professional correspondence with internal and external partners, stakeholders, and clients
- Coordinating board meetings with investors and internal stakeholders including agenda, presentation, etc
- Preparing Slides and Presentation for Board Meetings or other Executive Meetings
- Organizing business travel in case of more complex customer meetings or executive workshops
- Supporting strategic projects and special tasks, conducting research and analysis
- Maintaining document and information management, organizing and managing confidential documents, reports, and databases
- Providing administrative support, coordinating team tasks, and general office management
- Organizing internal events
- Managing press releases and media events

Professional Background
- Completed commercial training or degree in business administration, or a comparable field
- Several years of experience in a comparable assistant role, preferably in an international environment or consulting background
- Experience working with C-Level executives and in project management
- Experienced in preparing and structuring presentations specially for board meetings
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and ideally experience with digital collaboration tools (e.g., Teams, Confluence, SharePoint)
