The Executive Assistant will perform a broad range of administrative functions to keep projects on track, prioritize, and support the VP of Operations and respective management team. This role requires a proactive individual who can manage multiple tasks simultaneously and excel in a fast-paced environment while maintaining strict confidentiality. This role requires independent judgment and the ability to escalate serious or unique situations to higher management when necessary. The ideal candidate will possess strong organizational and time management skills and a proven track record of providing exceptional administrative support in an executive setting. 

Responsibilities of the Executive Assistant include, but are not limited to:

  • Calendar Management & Communication: Provide high-level administrative support to the VP of Operations, including managing calendars, scheduling meetings, coordinating travel arrangements, handling email correspondence, filing, and setting day-to-day direction to support business objectives
  • Project Coordination: Provide administrative support for project implementations, integrations, and updates related to cloud applications, CRM systems, and other technology initiatives. Act as a liaison between the VP of Operations and internal and external vendors, customers, and contractors
  • Business Process Enhancement & Optimization: Contribute to creating, maintaining, and implementing Standard Operating Procedures (SOPs) and scripts for various operational tasks
  • Maintain recordkeeping, confidential, and sensitive data
  • Reporting & Data Analysis: Gather, compile, and analyze data for reports on key operational metrics related to inventory, sales, logistics, and customer interactions using Salesforce or NetSuite for data management and reporting
  • Management of expense processing through Coupa, reimbursement, personal amounts owing, and account reconciliations
  • Inventory Management: Assist with inventory tracking, reconciliation, and reporting to optimize stock and ensure accurate data
  • Logistics & Fulfillment: Support logistics operations, including order processing, shipment tracking, and communication with the vendors, customers, and logistics carrier company
  • E-commerce & Sales Operations: Provide administrative support for e-commerce platforms, including order processing, customer service inquiries, and sales data analysis
  • Performs other related administration duties (Conference Room scheduling, filing, photocopying, and faxing)

Qualifications of the Executive Assistant include, but are not limited to:

  • Proven experience as an executive assistant or in a similar role supporting C-level executives
  • Exceptional organizational and time-management skills
  • Strong attention to detail and a high degree of accuracy
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team
  • Ability to juggle multiple tasks and projects simultaneously in a fast-paced environment
  • Adaptability and willingness to learn new technologies and systems
  • Discretion and confidentiality in handling sensitive information
  • Proficient in Microsoft Excel and Google Workspace (Gmail, GDrive, Docs & Sheets, etc.)

Bonus Points:

  • Experience with Salesforce, NetSuite, or other cloud-based platforms
  • Proficient in Adobe Creative Cloud (Adobe DC Pro, Photoshop & Illustrator)
  • Advanced skills in Microsoft Excel, including data analysis, pivot tables, and complex formulas.

Additional Information:      

  • Physical Demand: Prolonged periods sitting at a desk and working on a computer; Ability to lift up to 15 pounds
  • Working Conditions: Corporate Office environment
  • Shift Time/Overtime: Monday - Friday, 8:30am - 5:00pm. Flexibility to complete projects and work occasional overtime
  • Education: Bachelor's Degree preferred
