The Executive Assistant, Operations & Corp Underwriting will be responsible for providing administrative support to Arch Insurance’s Chief Operations Officer and EVP, Corp Underwriting, including certain members of their leadership team. This individual will be responsible for numerous administrative activities within and in support of these departments in addition to liaising with various Business Units and supporting departments.

Responsibilities:

  • Manages executives’ (and leadership teams if applicable) calendars to prioritize and resolve conflicts and to ensure that commitments and deadlines are met
  • Plan and schedule meetings, conferences, video conferences, includes booking meeting rooms, providing catering and audio visual requirements  
  • Follow up on outstanding deadlines for executives and team
  • Arrange travel itineraries for executives (and leadership teams if applicable), includes passports, booking of travel and hotel accommodations, car rental, in Concur
  • Prepare and process expenses for executives (and leadership team if applicable) in Concur
  • Ad hoc tasks as requested by executives.
  • As directed by executives, maintain all department communication/email distribution lists to ensure they are always current
  • Serve as onboarding contact – includes working with various departments, including HR & IT to ensure new hires have a best-in-class onboarding experience.  Provide introductions and directions to new hires so they may connect with the right people and information in order to do their jobs effectively.
  • Department Point of Contact – answer questions, calls, mail as necessary and/or direct to the appropriate resource
  • A high degree of discretion and integrity is required
  • Anticipates the needs of executives and operates with confidence, is articulate, proactive and able to act on their own initiative and works well as part of a team

Required Skills/Qualifications/Experience:

  • Strong Microsoft Word, Outlook, PowerPoint and Excel skills
  • Comfortable and confident when interacting with executives and staff of all levels
  • Must have exemplary verbal and written communication skills with the ability to handle sensitive correspondence regularly
  • Demonstrated ability to excel in a fast-paced, changing environment
  • Exceptional teamwork skills
  • Excellent ability to multitask and prioritize
  • Excellent attention to detail
  • Independent, self-starter
  • Minimum 5 years in an administrative role 
  • Computer skills are required and the ability to learn new systems, including Outlook, Workday, Excel, PowerPoint 

Education:

  • HS Graduate, College degree preferred.

For individuals assigned or hired to work in the location(s) indicated below, the base salary range is provided. Range is as of the time of posting. Position is incentive eligible.

$65,000 - $80,000/year

  • Total individual compensation (base salary, short & long-term incentives) offered will take into account a number of factors including but not limited to geographic location, scope & responsibilities of the role, qualifications, talent availability & specialization as well as business needs. The above pay range may be modified in the future.
