In your Executive Assistant role, you will provide executive support to the CFO predominately with some support to the broader Group Finance Senior Leadership Team and Board Members as required.

A high level of flexibility, discretion and confidentiality is required to be successful in this role.

The Role

  • Manage the CFO’s diary, including organising business appointments, teleconferences and videoconferences.
  • Ensure the availability of relevant agendas and supporting papers for meetings and engagements.
  • Effective and proactive management of the CFO’s email.
  • Screen telephone calls, field enquiries and requests and escalate urgent matters for the CFO’s attention.
  • Communicate on the CFO’s behalf with the Executive team, Executives of external organisations, the Board, suppliers and clients.
  • Coordinate investor meetings, teleconferences, webcasts, AGM and liaise with the external Investor Relations Advisors.
  • Preparation and review of correspondence, presentations and reports both of a general and confidential nature.
  • Prepare and distribute papers for Board and regular committee meetings, together with ad-hoc papers and correspondence as required
  • Coordination of Board meetings.
  • Organise and attend Executive meetings, prepare agendas and action items, and distribute as required, on Diligent Boards.
  • Assist with Company Secretarial matters including preparation and submission of ASX announcements.
  • Assist with the compilation of the Annual Report with the General Counsel, General Manager, Finance and relevant stakeholders.
  • Develop and maintain a strong awareness of business developments and priorities.
  • Build and maintain strong professional relationships across all levels with internal and external contacts.
  • Organise executive level business functions, conferences and other events.
  • Organise travel for the CFO and Board.
  • Manage credit card reconciliations and expense reimbursements for the CFO and Board.
  • Undertake projects for the CFO as required.

You Will Bring:

  • Extensive experience working as an Executive Assistant at a C-suite level in a corporate or ASX listed environment
  • Advanced computer skills, particularly in Outlook and Microsoft Office suite, and in particular a demonstrated ability to format Word documents and PowerPoint presentations
  • Experience working with Diligent Boards desirable but is not essential
