Job Overview

We are seeking a highly skilled and professional Executive Assistant to provide comprehensive support to our VP of Quality Assurance (QA) and the QA department. The ideal candidate will demonstrate exceptional organizational skills, discretion, and the ability to thrive in a fast-paced biotech environment.  This is an opportunity to bring your ideas, energy, and leadership to the table, helping to shape the future of Quality at Cytokinetics. 

Key Responsibilities

  • Act as a trusted partner to the VP and QA leadership team, provide administrative support to the QA department, handling confidential matters with tact, diplomacy, and sound judgment
  • Support the execution of contracts with external vendors and partner with Accounts Payable to ensure all invoices are paid on time
  • Expertly manage the VP’s calendar, prioritizing and resolving schedule conflicts
  • Organize and coordinate meetings, including logistics, catering, and technology setup
  • Coordinate complex travel itineraries and related meetings to include domestic and international arrangements. Proactively coordinates the pre-planning of travel with various internal functions, including agendas and necessary contacts, information, and other necessary preparations. Responsible for processing expense reports. Serve as a liaison between the Quality Leadership team and other departments, ensuring clear and timely communication; prepare and distribute internal and external communications, including meeting summaries and reports.
  • Prepare professional presentations for internal and external meetings
  • Support special projects and compile comprehensive reports, contributing insights and recommendations
  • Drive onboarding processes for the QA department, ensuring seamless experience for new team members
  • Maintain organized files, records, and databases to ensure efficient operations

Qualifications

  • Bachelor's degree preferred
  • 10+ years of executive-level administrative experience, in the biotech industry preferred
  • Proven ability to handle confidential information with discretion
  • A proactive, solutions-oriented mindset with the ability to manage multiple priorities in a fast-paced environment
  • Excellent organizational and time management skills
  • Exceptional interpersonal and communication skills, with a natural ability to build trust and relationships at all levels
  • Advanced proficiency in Microsoft Office suite, video conferencing tools, and expense reporting systems

Additional Information

  • This position requires on-site presence at our South San Francisco location 3 days per week, at a minimum
  • The role involves engaging with senior executives and various stakeholders, requiring a high degree of professionalism and interpersonal skills

Actual salary at the time of hire may vary and may be above or below the range based on various factors, including, but not limited to, the candidate’s relevant qualifications, skills, and experience, as well as the service line and location where this position may be filled.

Salary Pay Range

$131,000$145,000 USD
