The Job:  

The Executive Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and communication within the organization. This role requires a detail-oriented individual with excellent organizational skills, the ability to handle sensitive information with discretion, and the capability to manage multiple priorities in a fast-paced environment.

As an Executive Assistant, you’ll be part of our Tools & Outdoor team working as a hybrid employee.    You’ll get to:  

  • Provide executive and team support including, but not limited to, the following:
    • Manages calendar and high volume of meeting requests
    • Arranges complex domestic and international travel plans and create detailed itineraries
    • Submits expense reports on behalf of the executive on a timely manner
    • Serves as a delegate in multiple approval systems
  • Works as a partner with the Corporate executive team, anticipating needs and gaps
  • Coordinates meetings, events, and communication sessions
  • Proactively manages business rhythm planning ensuring that all core business meetings are scheduled with logistics and other pre-meeting requirements identified and addressed accordingly
  • Works with administrative team, serving as a resource ordering office supplies, mailing and shipping, preparing and running meetings, and effectively communicating through a multi-tiered organization.
  • Continually identifies opportunities to streamline functional activities while enabling the Executives to focus on the strategic and business initiatives rather than function logistics.
  • Processes invoices, reviews for compliance with billing guidelines, communicates with service providers, resolves discrepancies
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism.

The Person:

  • Minimum of 5 years professional experience, preferably supporting an executive within a global company
  • Excellent verbal and written communication skills
  • Proficiency using PowerPoint and Microsoft Office Suite
  • Preferred Notary Public
  • Experience using invoice tracking and processing system (ex. Legal Tracker) preferred
  • Excellent analytical, time-management, and project management skills
  • Superb interpersonal skills and working in a complex, matrixed organization
  • Extreme attention to detail and ability to handle multiple projects at once
  • High degree of attention to detail while also being tenacious with execution are critical elements to success in role.
  • High degree of confidentially and professionalism
  • Other key competencies include:
    • Must be extremely proficient in Microsoft Outlook, Excel and PowerPoint
    • Excellent time management, organizational skills, and attention to detail
    • High degree of confidentially and professionalism
    • Ability to work under pressure, adapt to change, and work in an extremely fast-paced environment
    • Positive demeanor and presence
    • Ability to think outside of the box for creative solutions

Preferred Qualifications:

  • Bachelor’s degree in Business Administration or a related field.
  • Familiarity with project management tools and software.

The base pay range for this position in Maryland is $53,400-$96,100 per year. Pay is based on market location and may vary depending on job-related knowledge, skills, and experience. A sign-on payment may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
