About the Role
Redhorse Corporation is seeking a highly skilled and experienced Executive Assistant (EA)/Office Administrator to provide comprehensive support to the Programs, Resources, and Enterprise Management (PREM) Directorate within the Under Secretary of Defense for Intelligence and Security (USD(I&S)) at the Pentagon. This critical role directly impacts the efficiency and effectiveness of senior leadership, ensuring seamless operations and contributing significantly to national security objectives. You will be the central point of contact for a high-level directorate, managing complex schedules, sensitive communications, and critical information flow. This position offers a unique opportunity to work in a high-stakes environment, directly supporting national security missions.
Key Responsibilities
- Office Support and Administration: Provide comprehensive administrative and management support, including calendar management, phone screening, security clearance support (escorting un-cleared personnel), preparing read-ahead packages, staff packages, briefing materials, protocol support, filing, supply ordering, and ad-hoc task support.
- Correspondence Support: Manage correspondence using DoD directives and IC policies; maintain electronic mail distribution lists and track incoming/outgoing correspondence.
- Records Management Support: Plan, develop, and maintain a user-friendly electronic and paper filing system compliant with Department regulations, ensuring consistent records management across Directorate divisions.
- Reporting and Manpower Management: Develop personnel reports, phone rosters, and key personnel lists; coordinate manpower reviews and distribute monthly OMT reports.
- Travel Support: Prepare comprehensive travel documents (including DTS or equivalent system usage), passport/visa applications, and related correspondence, potentially including local travel to embassies for document retrieval.
- Tasking and Tracking Management: Utilize CATMS or equivalent systems to manage tasking, coordinate with other USD(I&S) directorates, track Staff Action Packages, and prepare status reports, ensuring timely completion of actions.
- Editorial Review: Provide expert non-functional editorial review for formatting, grammar, and proper correspondence packaging, adhering to DoD manuals and instructions.
- Staff Augmentee Support: Provide expert administrative support for staff augmentee programs (detailees, JDAs, LNOs), reviewing, staffing, and tracking application packages, coordinating in-processing, and managing security clearance and system access paperwork.
- Awards Program Support: Support awards programs and evaluations for civilian and military personnel, ensuring timely submission of award applications.
- Security Support: Monitor SCIF access, coordinate security clearances through DISS and USD(I&S) Security, and assist with physical office security, including visitor tracking.
Desired Experience
- Experience with USD(I&S).
- Recent (within the last two years) experience on Service, Joint, or OSD Staff.
- Experience with DTS (Defense Travel System).
- Experience with CATMS (or other government task tracking system).
- Excellent oral and written communication, problem-solving, analytical, and interpersonal skills.
