Job Description

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and executive support to our SVP & Chief Human Resources Officer (CHRO). This role requires a driven individual with exceptional communication, interpersonal, and problem-solving skills. The ideal candidate will possess a strong understanding of executive-level support, the ability to manage complex schedules, and maintain the strictest confidentiality. This position will act as a key liaison between the CHRO and internal/external stakeholders, ensuring smooth operations and efficient workflow within the HR department and across the organization.

Responsibilities:

  • Calendar Management: Manage and maintain the CHRO's complex and demanding calendar, prioritizing appointments and meetings, and proactively resolving scheduling conflicts. This includes managing international travel arrangements.

  • Communication Management: Handle a high volume of confidential communications including emails, phone calls, and correspondence. Prepare presentations, reports, and other documents as needed. Draft and edit communications on behalf of the CHRO.

  • Travel Arrangements: Arrange and manage all aspects of domestic and international travel, including flights, accommodations, ground transportation, and visa applications. 

  • Expense Management: Process expense reports and reconcile statements.

  • Meeting Coordination: Schedule and coordinate internal and external meetings, including preparing agendas, distributing materials, and taking and distributing notes. For in-person meetings, responsibilities include room booking, catering arrangements, and participant communication.

  • Project Support: Provide administrative support for various HR projects and initiatives, as assigned by the CHRO. This may include data entry, research, and report preparation.

  • Social Media Management: Assist in managing the company's HR-related social media presence, creating content, and engaging with stakeholders.

  • Relationship Management: Build and maintain strong working relationships with internal stakeholders, including senior executives, HR team members, and other departments. Develop and maintain strong relationships with external vendors and consultants.

  • Confidentiality: Maintain the strictest confidentiality regarding sensitive information related to the CHRO, the HR department, and the company.

Qualifications:

  • Minimum of 5-7 years of experience as an Executive Assistant, preferably supporting a C-suite executive of a large global company.

  • Proven ability to manage complex calendars and prioritize competing demands.

  • Exceptional organizational and time management skills with the ability to handle multiple tasks simultaneously and meet tight deadlines.

  • Excellent written and verbal communication skills with the ability to communicate effectively with individuals at all levels of the organization.

  •  A strong understanding of global travel logistics and familiarity with various time zones and cultures. 

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 

  • Advanced proficiency in Google Workspace Suite (Docs, Sheets, Slides, Gmail).

  • Familiarity with various social media platforms and experience in creating engaging content.

  • Strong interpersonal skills and the ability to build and maintain positive working relationships.

  • Discretion and the ability to handle highly confidential information.

  • Ability to anticipate needs and proactively resolve issues.

Location: Chicago, IL - This is a hybrid position with the expectation to be in office approximately 1-4 days per week. This will vary depending on the CHRO’s schedule.

Target Base Salary Range: $64,500 - $97,500 USD

Consistent with Motorola Solutions values and applicable law, we provide the following information to promote pay transparency and equity. Pay within this range varies and depends on job-related knowledge, skills, and experience. The actual offer will be based on the individual candidate.
