Hive Group is seeking an Executive Administrative Assistant to support senior leadership within the Solution Delivery Division (SDD). This position ensures the smooth and efficient operation of front-office activities by providing high-level administrative, travel, scheduling, and correspondence support to the Chief Operating Officer and other senior executives. The ideal candidate will be an experienced, resourceful, and detail-oriented professional who thrives in fast-paced environments and can manage competing priorities with professionalism and discretion.
Key Responsibilities:
- Provide executive-level administrative support to the SDD Chief Operating Officer (COO) and division leadership.
- Manage and maintain calendars, coordinate internal and external meetings, prepare agendas, and track action items.
- Draft, edit, and route official correspondence, memoranda, and reports in compliance with formatting and routing protocols.
- Coordinate travel arrangements through the Defense Travel System (DTS) and ensure alignment with the Joint Travel Regulations (JTR); prepare and submit vouchers.
- Maintain office supply inventory, handle procurement requests, and support logistics for meetings, site visits, and staff events.
- Serve as the initial point of contact for visitors, phone calls, and email correspondence directed to SDD executive offices.
- Assist with military and civilian in-processing/out-processing documentation and orientation logistics.
- Manage shared calendars and conference room scheduling for division-level events and meetings.
- Maintain files and records in accordance with records management policies.
Required Qualifications:
- 3–5 years of experience in an executive assistant or senior administrative support role, preferably within a federal or DoD setting.
- Demonstrated ability to professionally interface with all levels of management, staff, and external stakeholders.
- Strong organizational, multitasking, and time-management skills with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint.
- Working knowledge of the Defense Travel System (DTS) and familiarity with Joint Travel Regulations (JTR).
- Training in executive support, administrative operations, or records management is a plus.
Work Environment and Travel:
- Work is primarily performed on-site in Falls Church, VA, with limited remote flexibility upon approval.
- Travel is minimal but may occasionally be required for training or support to SDD events in Charleston, SC or San Antonio, TX.
