Your Role

The Executive Administrative Assistant will operate in a dynamic, rapidly changing environment which requires flexibility, adaptability, initiative as well as excellent organization and problem-solving skills.

The ideal candidate will be experienced in handling a wide range of executive support tasks and enjoy the challenge of supporting a member of the Executive Leadership team. The role requires interacting with staff at all levels, sometimes under pressure, while maintaining a high level of professionalism. Other necessary skills include attention to detail, strong written and verbal communication skills, and strong decision-making ability. In your daily job you will:

  • Complete a variety of administrative tasks including managing an extremely active calendar of appointments, meetings, and calls, completing expense reports, and arranging complex and detailed domestic and international travel plans, itineraries, and agendas.
  • Coordinate group meetings. This includes; developing agendas, proofing for edit of presentations and preparing all meeting room arrangements and logistics.
  • Compile, transcribe, and distribute meeting recaps.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to Executive Leadership including those of a sensitive or confidential nature.
  • Communicate directly and/or draft correspondence on behalf of Executive Leadership. Maintain trust and support cross functionally through effective interactions with dispersed leadership teams and administrative assistants.
  • Compile data, prepare reports, memos, letters, organizational charts, and other relevant documents.

Your Background

Key ingredients for succeeding in this role are your:

  • Bachelor’s Degree
  • Minimum 5 to 7 years relative work experience
  • Proficient technical skills and thorough knowledge of Microsoft Suite, technical conference room software, etc.
  • Strong regard for confidentiality
  • Strong organizational and time management skills; ability to manage a multitude of high-priority tasks at one time.
  • Demonstrated ability to achieve high performance goals
  • Excellent attention to detail; meticulous and detailed
  • Strong interpersonal communication skills (written and verbal)
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Willingness to collaborate with other EA for support in Europe - requiring ability to work within accommodating time zones
  • This is an on site position requiring daily in person attendance, with flexibility as required.
  • Must be able to work flexible hours; occasional support required after standard office hours

Preferred Qualifications

  • Proficiency in Adobe Acrobat, WebEx, Zoom, Workday, Concur and Diligent.
  • Previous experience at a global organization, working with a dispersed team.
  • Project management or event planning experience.
  • Customer-service mindset.
  • Good understanding of corporate governance and related policies and procedures.
