This position performs executive level administrative work, including frequent high-level clerical work organizing, scheduling, coordinating, researching, compiling and sometimes analyzing information for supervisor(s) and the International & Digital teams. The position includes elements of clients facing support and communication for both domestic and international partners/vendors. The role will report to the Senior Vice President of International and the Senior Vice President of International Media.

QUALIFICATIONS

  • Bachelor’s degree in related field required. An equivalent amount of education and experience may be substituted.
  • Minimum of ten years secretarial or other administrative support experience for senior level management required.
  • International experience and/or a second language are preferred. 

RESPONSIBILITIES/DUTIES

  • Complete a broad variety of administrative tasks and provide strong executive level support for the International and Digital teams. Coordinate meetings, schedules, prioritizes appointments, and ensures that meetings, deadlines, presentations, and other duties are carried out
  • Assists executives in implementing department activities and communications, internal and external
  • Coordinate travel arrangements, visa requirements, flights, accommodations, and other itinerary specifics
  • Act as the point of contact among executives, employees, clients and other external partners · manage information flow in a timely and accurate manner
  • Prepare executive level expense reports and expense report approvals, in Concur, – may include more VP’s in addition to direct management.
  • Supports / helps track international office budgets
  • Handling memos, reports, and related documents, including sensitive information. Keeping confidential information.
  • Support teams within International Media, & Digital with upcoming events and workshops. 
  • Assist vendors and international media partners with travel and meeting plans to the Global Home & PGA TOUR events as needed.
  • Provide executive level support for The PLAYERS Championship and President Cup tournaments by managing attendance, invites, events, credentials, gifting, hospitality, and parking.
  • Coordinate and process all credential requests for International Media and Digital in Populous. 
  • Purchase office supplies within defined budgetary limitations.
  • Acts as Global Home liaison for departments. Register visitors in iOffice, welcome visitors and maintain an appropriate professional demeanor toward visitors and partners.
  • Order products and track gift inventory in Allocadance for International Media and Digital. 
  • Special projects or other duties as assigned.
