We have a great opportunity for a Depot Manager to safely, professionally and effectively manage the Naikabula depot operations by providing a high level of leadership to team members and customer service to clients through efficient, effective, and consistent planning and execution whilst building and maintaining a reputation for quality and integrity.
Job Description
Major Objectives / Accountabilities:
Health and Safety
- Comply with all HSE legislation, regulation, code of practice, safe operating procedure, and best practices relevant to your responsibility.
- Understand and positively reinforce all company Health, Safety and Environment policies, procedures, and standards.
- Actively ensure all employees, contractors and visitors on site comply with all Company HSE policies, procedures, and standards.
- Manage and monitor accidents, incidents, and workplace injuries to ensure they are reported promptly. Undertake investigations, ensure corrective actions are implemented, and rehabilitation plans are in place and managed effectively.
- Implement and ensure compliance with initiatives released by relevant industry bodies as directed.
- Actively work to continuously improve Health and Safety work practices. Ensure consistency and compliance across all depot operations.
- Understand the role and its safety elements. Behave consistently and always promote a safe work culture.
- Participate in all HSE training as directed.
Management and Leadership
- Ensure that all Company policies and procedures are adhered to.
- Set clear objectives and frameworks for Depot Leadership and continuously review.
- Mentor Depot Leadership Team to grow depth by providing constructive feedback and identifying performance development opportunities.
- Drive continuous improvement and support the Depot Manager, Fiji to resolve end-to-end process issues.
- Regularly audit Depot Operations to ensure objectives are being achieved as agreed.
- Review and maintain staff resourcing to ensure service levels are always maintained, including after-hours and weekend work. Escalate to the Depot Manager Fiji, in advance, where there is resourcing risk.
- Build and maintain effective working relationships with depot employees to ensure business continuity. Escalate all staffing issues where formal corrective action may be required at the earliest possible time.
- Lead by example. When required provide hands-on support to the depot as necessary.
- Document all processes and procedures to keep information current and allow for auditable systems.
- At all times act in the best interest of the business. Ensure the business reputation, presentation and image are upheld and promoted accordingly in the industry.
Depot Management
- Accountable for driving revenue and cost control against budget.
- Manage payroll for Naikabula Depot.
- Manage activities related to container maintenance and repair, including materials management, quality control, tool engineering, cost estimating and technical services, to deliver the required services to internal and external customers.
- Ensure all depot facilities, workshops, equipment, and vehicles are effectively maintained, and preventative maintenance programs are in place and implemented.
- Manage vendor performance, including spend reporting, variances to agreed KPIs
- Lead vendor negotiations, ensuring the best financial outcomes for NPDL.
- Actively manage traffic flow and ensure timely communication to both internal and external stakeholders utilizing the VBS to avoid traffic congestion
- Ensure company resources are utilized and applied effectively. This includes but is not limited to client AHAM and criteria, IT equipment, client rates and tools etc.
- Ensure all Depot-related expenses, POs, approvals, invoices, and payments are processed in a timely manner, as per agreed KPIs
- Review and manage depot performance against KPIs throughout the month, taking proactive measures to rectify where necessary.
- Instigate processes and a continuous improvement philosophy for more effective and efficient service and work quality. Ensure all stakeholders are informed and standard operating procedures are up to date.
- Lead and manage projects and change as directed.
- Support other depots as requested.
Client
- Develop and maintain professional working relationships with all industry stakeholders through regular interactions. These contacts include but are not limited to clients, transport operators, port companies, pack points, MPI and any other areas deemed of strategic importance.
- Seek client feedback on depot performance. Provide feedback to staff and ensure issues are monitored and rectified. Provide feedback to Depot Manager, Fiji along with a plan to rectify issues.
- Ensure you are accurately informed of all depot activities and continuously monitor client requirements including but not limited to acceptances (vessel discharge) and releases to effectively manage client stock levels.
- Review and manage client performance against KPIs throughout the month, taking proactive measures to rectify where necessary.
Reporting
- Implement initiatives to improve the information, data flow and acquisition of information from reporting.
- Provide honest and accurate reporting both internally and externally following agreed procedures in a timely fashion.
- Provide reporting as required in agreed timeframes and format.
- Monthly depot report to be produced in agreed format and timeframe.
Key Performance Indicators
- Safety - Observations in Enablon / LTI’s / MTI’s / Resolved Incident timeframe
- Container turn time (Gate In to AV (exclude approval))
- FIFO (units with releases)
- Container Rejections
- Regulatory compliance
Qualifications
- Minimum 5 years in a leadership role within shipping and logistics.
- Experience running complex sites or projects would be desirable
- High level of integrity and work ethic; a safety role model, able to create, drive, and develop a strong Safety culture across all operations.
- Highly results-oriented, ready to take on challenges and able to work under pressure.
- Strong leadership experience leading a team and positively influencing other team members.
- Constantly challenging the status quo and able to identify opportunities to improve the business.
- Proven strong communication skills ensuring clear, direct, and appropriate communication at multiple organizational levels.
- Excellent analytical and problem-solving skills, able to identify root causes and determine corrective actions.
- Strong knowledge of MS Office, specifically Word, Excel, PowerPoint, and Outlook.
