What you’ll do at Elekta 

As a Customer Order Coordinator, you’ll be a part of the nine-member Order Management team for our Elekta Brachy business line. You’ll act as a bridge between the customer (the Elekta Sales Organization, Business lines and Global Service) and the entire Brachy supply chain & manufacturing process, specifically the Planning and the Warehouse Expedition teams.  You’ll also liaise with our vendors, manufacturing partners and forwarders, assuring smooth delivery performance of Elekta Brachy products across the globe.  

Responsibilities 

Your daily responsibilities will be focused on the order management process for the Brachy Business Line. Brachy customer orders deal with three primary categories: large medical equipment, radioactive sources and small orders (consumables). Arranging and providing the needed documents and requirements to execute the shipping and export of the orders globally will be the key activities to execute on. 

Your responsibilities include (but are not limited to): 

  • Order Management: Arrange and provide all necessary documents and requirements for shipping and export orders, including full coordination with freight or service providers for large project orders. Generate and distribute export and import documentation ensuring timely dispatch and invoicing to customers or business units. 
  • Documentation Management: Process shipping documents (EUR.1, ATR, COO), produce Brief packs (create licenses), and populate import/export labels. 
  • Vendor Management: Plan and execute the delivery and return of source orders globally in close contact with external manufacturers (vendor Curium), adhering to IATA regulations. Provide rolling forecasts and transport planning to the vendor. 
  • Customer Relations: Maintain strong relationships with internal and external stakeholders, focusing on customer satisfaction, compliance, and revenue realization. Manage various order types and processing systems, offering support via CRM and the Brachy E-commerce platform. 
  • Compliance: Execute order processing, import, and export in line with medical device regulations (ISO 13485, FDA 510k) and IATA standards. Investigate and resolve customer complaints (CLM cases) related to order management, and handle order returns (RMA’s). Participate in internal audits.  
  • Continuous Improvement: Actively participate in continuous improvement initiatives using Lean principles to enhance customer delivery performance, ensure compliance, increase efficiency, and reduce costs. 
  • Reporting: Maintain, build, and share reports and relevant KPIs for internal and external stakeholders.

The team is responsible for the final step in the manufacturing and supply chain process, ensuring that medical equipment, sources, and consumables are expedited and delivered in a timely and compliant manner worldwide. What you bring 

We believe that you should also have: 

  • Experience of working within global international Logistics/ or Supply Chains with good understanding of international transportation (road and air). 
  • Excellent IT skills and experience with an ERP (we use M3 Infor) and CRM (we use Salesforce) systems, various export tools and MS Office.  
  • Experience with continuous improvements (lean). 
  • Professional proficiency in English and at least working proficiency in Dutch.  
  • Nice to have IATA Dangerous Goods certificates “Luchttransport gevaarlijke stoffen (algemeen)”and “Luchttransport gevaarlijke stoffen (radioactief /Class 7). 
  • Knowledge of radiation safety/Protection (“TMS verspreidbare radioactieve stoffen D (5B)” or similar) is highly preferred but not mandatory. 
  • Experience of managing customer orders & Letter of Credit’s, preferably within the Logistics, Purchasing or administration of Capital Goods/Projects LCs is strongly recommended but not obligatory.
